Position: Assistant Director of Admissions

Report To:  Director of Admissions 

Employment Type: Full-Time, 12-Month

Compensation: $34.50 - $38.00 Any offered salary is determined based on internal equity, internal salary ranges, market data, applicant's skills and prior relevant experience, degrees, and certifications.

Job Overview: 

The Assistant Director of Admissions is a vital member of the Enrollment Management team, responsible for attracting, engaging, and enrolling students and families who are a strong fit for the mission of Bellarmine Preparatory School. Reporting directly to the Director of Admissions, this position helps execute the school's admissions strategy through personal outreach, event coordination and community engagement. 

In addition to supporting prospective families through the admissions process, the Assistant Director of Admissions oversees the Parent Ambassador Program, supports Bellarmine's Summer Programs, and collaborates with the Director of Admissions on strategic enrollment initiatives. This role requires a welcoming presence, a service-oriented mindset, and a strong alignment with Bellarmine's Catholic, Jesuit values. This is a full-time, 12-month position working through the calendar year requiring occasional weekend and evening time commitments.

Core Functions or Duties: 

Admissions & Family Engagement

  • Serve as a primary point of contact for prospective families throughout the admissions process.
  • Lead campus tours and presentations, showcasing the Bellarmine experience.
  • Field inquiries, conduct admissions interviews, and review admission applications.
  • Maintain focus on reaching and/or exceeding all the admissions goals for inquiries, campus visits, acceptances, deposits, and new student enrollees.
  • Ensure an exceptional, personalized experience for all prospective families through consistent communication and follow-up.
  • Increase awareness about Bellarmine throughout our community, including churches and local organizations.
  • Engage faculty, staff, students, and alumni in the admissions and enrollment process.
  • Assist with student retention initiatives as needed.
  • Serve as a member on the admissions committee. 

Strategic Partnership & Planning

  • Collaborate with the Director of Admissions to analyze enrollment trends, develop and implement both short- and long-term strategic goals.
  • Assist with summer planning and project execution in preparation for the upcoming admissions cycle.
  • Collaborate on special projects as assigned aligned to schools' strategic goals.
  • Collaborate with other departments to strengthen communication, data management, goal setting and shared strategies (i.e. Advancement, Alumni Relations and Communications). 

New Student Enrollment & Onboarding

  • Support the transition of accepted students and families into the Bellarmine community.
  • Help plan and implement orientation programs such as Breakaway, 9th Grade Orientation and family welcome events.
  • Partner with Link Crew and Breakaway faculty leads to select student leaders and facilitate their engagement with incoming students.

Enrollment Marketing & Communications

  • Contribute to marketing efforts that build brand awareness and community engagement.
  • Assist in managing the Lion Outreach Team (student ambassadors).
  • Help coordinate, promote and lead on-campus admissions events and off-campus community relations gatherings.
  • Partner with the Director of Admissions and other campus partners to develop and distribute marketing materials and promotional items.
  • Partner with vendors and local businesses to ensure high-quality marketing materials and event execution.
  • Collaborate on email communications and social media campaigns targeting prospective families.
  • Represent Bellarmine at internal and community events such as Homecoming and partner school gatherings.

Parent Ambassador Program

  • Recruit, train, and manage a dynamic group of Parent Ambassadors to support admissions and community-building efforts.
  • Organize volunteer involvement in tours, events, outreach calls, and welcome activities.
  • Foster strong relationships among parent ambassador families to enhance their engagement and advocacy.

Database & Application Management

  • Support accurate and timely maintenance of admissions records within the database.
  • Assist in managing communications and application workflows through the admissions process.

Community Outreach & Local Travel

  • Maintain strong relationships with current partner schools while seeking to expand Bellarmine's reach into new communities.
  • Represent Bellarmine at admissions events, receptions, conferences and partner school events. 

Bellarmine Summer Programs

  • Support the planning and implementation of Bellarmine's Summer Programs.
  • Oversee marketing in partnership with campus collaborators to prospective families.
  • Ensure that all summer programs reflect the mission and values of Bellarmine.

Qualifications: 

Education & Experience 

  • Bachelor's degree required.
  • 23 years of experience in admissions, enrollment, education, or a related field.
  • Experience with CRM systems, Microsoft Office Suite, and related tools.
  • Valid driver's license and the ability to travel locally and regionally.

  • Bilingual skills are a plus but not required.
