Title of Position: Manager, Booking

Reports to Position: Director, Concert Venue Rentals

Overview:

The Booking team is responsible for Booking Carnegie Hall’s three performance spaces to Visiting Presenters: Stern Auditorium / Perelman Stage (S/P), Zankel Hall (ZH) and Weill Recital Hall (WRH). Reporting to the Booking Director, the Manager works with a high volume of contracts, insurance certificates, ticket orders and website administration. The role requires an expert-level proofreading ability, communication skills and a strong knowledge of music.

Tasks & Responsibilities:

  • Venue contracts, payments and event confirmations:
  • Prepare/issue/amend contracts to Visiting Presenters for Stern Auditorium / Perelman Stage (S/P) and Zankel Hall (ZH), hundreds of contracts each year; occasional support for Weill Recital Hall (WRH) contracts;
  • Claim and record deposit payments for S/P and ZH; occasionally support WRH;
  • Generate and distribute internal booking memos for S/P and ZH;
  • Confirm and add/update performance details for S/P and ZH events before web publication.
  • Web edits: promotions and marketing
  • Responsible for proofing, researching and publishing a high volume of Visiting Presenter event web pages with titles, repertoire, images, videos, and photo credits – all 3 venues; occasionally stepping in to edit 75-word event blurbs;
  • Troubleshooting website issues;
  • Proof/edit monthly printed calendars posters of Visiting Presenter events.
  • Communicate with Visiting Presenters on a range of subjects, including contracts, deposits, website, marketing and promotions, ticket orders and insurance.
  • Serve as lead communications for all ticket orders for hundreds of Visiting Presenter WRH events, including proofing tickets, fielding issues, and fulfillment;
  • Data entry and event tracking: Presenter contact info, revenue and insurance tracking
  • Assign/track revenue for all Carnegie Hall events;
  • Log and review insurance certificates for all Visiting Presenter events, communicating with Carnegie Hall’s insurance contractor if necessary;
  • Visiting Presenter contact information in event databases (Artifax and DIESE).
  • Proof / edit internal and external documents (guidelines, visiting presenter rental portal documents, and miscellaneous communications), as needed;
  • Identify and log system bugs in databases; troubleshoot solutions and fixes;
  • Train team members and supervise misc. tasks, as assigned.

Skills & Qualifications:

  • A Bachelor’s degree is required. A knowledge of music is desired.
  • A minimum of 5 years of experience working with event/venue contracts, preferably as a contract administrator, is required.
  • Proficiency in Microsoft Office, especially Excel, experience is required.
  • Experience working with websites, as well as DocuSign, is recommended.
  • Organized, process-oriented, and excellent attention to detail.
