ResponsibilitiesIn this role, you will be responsible for:• Greet clients, attorneys, and visitors in a professional and welcoming manner.
• Answering and routing incoming RingCentral calls on a multi-line telephone system, directing calls to the appropriate team member, taking accurate messages when necessary, and ensuring calls are properly saved in Filevine.
• Maintaining the conference rooms and reception area to ensure a clean and professional environment. Scanning, photocopying, and faxing documents as needed.
• Collecting and routing incoming mail and hand-delivered packages.
• Running various office errands, including trips to the post office, FedEx, and various stores. Preparing and sending outgoing correspondence, including birthday cards, contact cards, thank-you cards, client journals, and attorney demand letters.
• Maintaining organized records and spreadsheets, including tracking storage file requests and gift card/lotto ticket lists.
• Labeling and entering all incoming mail, faxes, emails, and client photographs into Filevine.
• Contacting clinics, hospitals, and lienholders to obtain balance confirmations, including through ChartSwap.
• Entering settlement checks, MedPay checks, and referral fee checks into Filevine.
• Preparing Referral Fee Agreements and distributing them to attorneys and clients via Vinesign.
• Assisting Spanish-speaking clients by facilitating communication and, when needed, reviewing questionnaires with them.
QualificationsRequired:
• Excellent written and verbal communication skills.
• Proficiency with Microsoft Office, including Word, Outlook, and Teams.
• Ability and openness to learning new technology and software.
• Prior experience working in the legal field.
• Prior experience working as a receptionist.
• Experience with Filevine case management software.
• Bilingual in English and Spanish.
Preferred:
• Experience working at a personal injury law firm.
• Experience working as part of a fast-paced team.
