If you are the person who keeps everything running - travel booked, records straight, paperwork accurate, and deadlines met - this full-time role puts that talent to work on the officiating side of the sport. As Officiating Administrator, you will be the operational backbone of the officiating group across both the NTT INDYCAR SERIES and INDY NXT. You will coordinate travel and apparel, prepare reports and penalty notices, partner with accounting on competitor fines, administer seasonal-staff pay and expense reporting, and keep teams informed. This is detail-driven, behind-the-scenes work for someone who takes pride in getting things right.
About INDYCAR Officiating INDYCAR Officiating, Inc. (IOI) is an independent, not-for-profit organization established in December 2025 to oversee officiating for the NTT INDYCAR SERIES and INDY NXT, including race control, technical inspection, and rules enforcement. Operating independently of the series and its ownership, IOI is committed to ensuring racing is governed fairly, consistently, and with the highest standards of integrity. On the administrative side, that means keeping the officiating group organized and on the move across superspeedways, short ovals, road courses, and street circuits. The Officiating Administrator supports both series throughout the season, helping the department stay accurate, responsive, and ready for every race weekend.
The Impact You'll Make Every INDYCAR and INDY NXT race weekend depends on accurate information, coordinated travel, organized records, and timely administrative support. As Officiating Administrator, you will keep those details moving so officials can focus on governing competition fairly and consistently. What You'll Own
- Coordinate travel. Book and manage travel, itineraries, and accommodations for the officiating group at every INDYCAR and INDY NXT race weekend.
- Manage apparel. Order, track, and distribute officiating apparel and credentialed gear for full-time and seasonal staff.
- Prepare reports and notices. Prepare, distribute, and file IOI reports and penalty notices accurately and on deadline, as directed by officiating leadership and on-track officials.
- Track competitor fines. Work with the Accounting department to process and reconcile competitor fines while maintaining clean, timely documentation.
- Administer seasonal staff pay. Collect, review, and submit seasonal staff pay and expense reports, including overtime reporting.
- Keep teams informed. Serve as an administrative point of contact for team communications and distribute officiating notices and bulletins.
- Maintain records. Keep thorough, accurate records, files, and databases for the department across both series.
- Support the team. Take on additional responsibilities and special projects as needed to support officiating operations and organizational goals.
What Makes You Successful
- Administrative experience. Two (2) to three (3) years in an administrative role; motorsports or live-event experience is strongly preferred.
- Organization. The ability to manage travel, apparel, documentation, payroll, and shifting priorities across two racing series at once.
- Attention to detail. Consistent, thorough, and accurate, particularly when handling penalty notices, fine records, payroll, and expense reporting.
- Discretion. Sound judgment when handling sensitive competitive, financial, and personnel information.
- Communication. Clear, professional written and verbal communication with officials, teams, staff, and internal partners.
- Composure. Able to stay focused, adaptable, and level-headed through long, fast-paced race weekends.
- Travel and flexibility. Able to travel to all INDYCAR and INDY NXT events during the racing season and adjust to changing schedules and priorities.
- Software. Comfortable with Microsoft Excel, Word, and PowerPoint, with the ability to quickly learn new systems.
- Adaptability. Able to respond quickly and constructively to the often-changing demands of the season.
- Education. A bachelor's degree is preferred; relevant motor sports or live-event administration experience is valued equally.
What to Expect This full-time, non-exempt role travels to all INDYCAR and INDY NXT events during the racing season, plus occasional additional travel. Race weekends often involve long days and changing priorities. The position has no direct reports; it administers pay and expense reporting for seasonal staff but does not supervise personnel. You will spend significant time on your feet, help move and load equipment, and operate certain equipment at the track and in the shop. The role moves between office and shop settings and active race environments with high noise, changing weather, moving race cars, and designated danger areas where awareness and safety are essential.
