Job Title: Order Entry SpecialistJob DescriptionThe Order Entry Specialist accurately enters and processes customer purchase orders through an ERP portal while collaborating closely with shipping and production teams to ensure timely and precise order fulfillment. This entry-level position offers an excellent opportunity to build foundational experience in order management, data entry, and inventory coordination within a structured office environment.
Responsibilities
- Accurately enter up to 50 customer purchase orders per day into the ERP portal, ensuring all details are complete and correct.
- Review order information for accuracy, including quantities, item descriptions, pricing, and delivery requirements before final submission.
- Collaborate with the shipping department to confirm shipping details and timelines, helping to ensure orders ship accurately and on schedule.
- Coordinate with the production department to verify product availability and production schedules that align with customer orders.
- Maintain accurate records of orders, updates, and changes within the ERP system and related order processing tools.
- Perform general data entry tasks related to order processing, inventory updates, and customer information management.
- Monitor and update order status within the system, communicating changes or issues to relevant internal teams as needed.
- Follow established procedures and guidelines for order entry and processing to support consistency and quality.
- Use Microsoft Office tools to prepare basic reports, track order-related information, and support daily administrative tasks.
- Support inventory-related activities by entering and updating inventory data as required for order processing.
- Identify and escalate any discrepancies or issues with orders, inventory, or system entries to the appropriate team members.
- Contribute to a collaborative work environment by communicating clearly with colleagues in shipping, production, and other departments.
Essential Skills- Experience with order entry and order processing, including entering purchase orders into an ERP portal.
- Strong data entry skills with a focus on accuracy and attention to detail.
- Familiarity with ERP systems and portals used for order management.
- Experience with SAP or similar enterprise resource planning software.
- Proficiency in Microsoft Office applications, including Word and Excel.
- Ability to work effectively with shipping and production teams to ensure order accuracy and fulfillment.
- Strong organizational skills to manage multiple orders and tasks throughout the day.
- Ability to follow established processes and procedures in an office environment.
Additional Skills & Qualifications- Bachelorโs degree or progress toward a bachelorโs degree is preferred.
- Experience in an inventory-related or order processing role is a plus.
- Comfort working in an entry-level position with opportunities to learn ERP and SAP systems.
- Strong communication skills to collaborate across departments.
- Willingness to adapt to potential hybrid or remote work arrangements in the future.
Work EnvironmentThis role is based in an office environment and focuses on order entry and data processing within an ERP system. The standard schedule is 40 hours per week, with 9-hour days Monday through Thursday from 7:00 a.m. to 4:30 p.m., and a 4-hour day on Friday with an 11:00 a.m. finish. The position may be a direct placement or contract-to-hire, with potential flexibility to work remotely or in a hybrid arrangement over time. The work involves regular collaboration with shipping and production departments, use of SAP and Microsoft Office tools, and adherence to structured processes in a professional setting.

Pay and BenefitsThe pay range for this position is $23.00 - $23.00/hr.
