Job description

Position Title:    Digitization Technician
Location:            Tysons Corner, VA
Clearance:          Must be able to obtain a public trust clearance. Due to the nature of this government contract, U.S. Citizenship is required.

NEOSTEK is seeking a skilled Digitization Technician to join our team to support federal records management and information governance initiatives by preparing, scanning, validating, and capturing records in accordance with established policies, procedures, and contractual requirements.  This role ensures that both physical and electronic records are accurately digitized, properly classified, and transferred to the appropriate content owners while maintaining compliance with records retention and disposition standards.
Responsibilities:
  • Digitization & Scanning Operations
    • Prepare paper records for digitization, including document review, organization, and physical preparation. 
    • Scan paper records and upload digital files to SharePoint Online using established file naming conventions.
    • Apply required metadata and classification tags to ensure records are searchable, retrievable, and compliant with records management standards.
    • Perform Quality Assurance (QA) reviews of scanned documents to verify completeness, accuracy, and image quality.
    • Coordinate the secure scheduling and tracking of scanned paper records for authorized destruction in accordance with retention schedules.
    • Conduct periodic inventories of physical and digitized records to ensure accountability and alignment with records tracking systems.
    • Coordinate new or ad hoc scanning initiatives with team leads and stakeholders.
    • Assist with the review and update of Standard Operating Procedures (SOPs related to digitization and records processing).
  • Records Capture & Offboarding Support
    • Coordinate with team leads and supervisors to schedule records capture activities associated with employee off-boarding.
    • Conduct records capture for departing staff to ensure official records are identified, collected, and transferred to the appropriate content owners or repositories.
    • Ensure captured records are properly stored, labeled, and documented in accordance with records and information management (RIM) policies.
    • Update and maintain records management tasks and statuses within the off-boarding dashboard or tracking system.
    • Escalate issues related to missing, incomplete, or unclear records to appropriate stakeholders.
  •  Other duties as assigned.
Requirements:
  • Due to the nature of this government contract, U.S. Citizenship is required.
  • Proven experience with document scanning, digitization, or records management in a structured or regulated environment.
  • Familiarity with SharePoint Online or similar enterprise content management systems.
  • Strong attention to detail and ability to follow detailed naming conventions, metadata standards, and SOPs.
  • Ability to handle sensitive information in accordance with federal information security and privacy requirements.
  • Strong organizational and time-management skills.
  • Ability to work independently and in a team-oriented environment.
  • Experience working with Federal Government agencies preferred.
