About the Role:
We are seeking a detail-oriented HR Operations Coordinator to support the day-to-day administration of employee data and HR records. The HR Operations Coordinator role is responsible for maintaining the accuracy, integrity, and efficiency of HR operations, systems, records, and reporting. This role serves as a key administrator of HR technology and data, ensuring compliance, supporting employee lifecycle processes, providing actionable workforce insights, and enhancing the employee experience through effective HR programs and communications. The ideal candidate has exceptional attention to detail, strong organizational skills, and the ability to handle confidential information with discretion and professionalism.
Reporting Structure: Reports to: HR Director, Eriez USA
Key Responsibilities:
Data Management & System Maintenance:
  • Serve as primary HR administrator for assigned HRIS and employee data systems, ensuring data integrity, user support, reporting accuracy, and process consistency.
  • Enter and maintain accurate employee information across HR and Benefits systems (e.g., E1, HRIS platforms).
  • Conduct routine audits to ensure data quality and integrity.
  • Support timely updates for employee lifecycle changes, including onboarding, transfers, and offboarding.
  • Partner with IT to implement new field codes, tables, workflows, and system enhancements.
  • Test and validate system updates, patches, and new reporting tools.
  • Troubleshoot HRIS issues and provide user support to HR team members and managers.
  • Maintain data dictionaries, system documentation, and reporting standards.

HR Compliance and Records Administration
  • Ensure compliance with federal, state, and local employment recordkeeping requirements.
  • Support preparation for internal and external audits.
  • Maintain personnel records in accordance with company policies and legal retention requirements.
  • Monitor and support compliance with HR policies and required employee acknowledgments.

Time-Off Administration
  • Maintain accurate PTO and leave records.
  • Monitor exceptions, negative balances, and policy compliance.
  • Partner with payroll, managers, and employees to resolve discrepancies.
  • Generate periodic reporting on PTO utilization and trends.

Internal Communications & HR Platforms:
  • Manage and update physical and electronic HR communication boards.
  • Maintain and update the HR department SharePoint site with relevant resources and updates.
  • Administer the company's emergency contact and employee text messaging system.

Personnel File Management:
  • Organize and maintain both physical and digital personnel files in accordance with company policy and compliance standards.
  • Manage HR records retention in accordance with legal requirements and company policy

HR Metrics, Reporting & Analytics
  • Support compliance-related HR processes, including required reporting, recordkeeping, policy acknowledgments, and audit preparation.
  • Prepare and distribute monthly headcount, turnover, staffing, and other HR metrics reports.
  • Create dashboards and standardized reporting tools to support data-driven decision-making.
  • Recommend process improvements to enhance efficiency, accuracy, and user experience.
  • Respond to ad-hoc reporting requests with accuracy and timeliness.

HR Programs & Employee Engagement
  • Coordinate employee wellness initiatives and vendor relationships.
  • Support employee engagement programs and HR-sponsored events.
  • Track participation metrics and program effectiveness
  • Respond to routine employee and manager inquiries related to HR systems, records, policies, and employee data updates, escalating complex matters as appropriate.

Cross-Functional HR Support
  • Collaborate with payroll, benefits, talent acquisition, and cross-functional teams to ensure data alignment and process consistency.
  • Support HR projects such as policy updates, employee engagement initiatives, and system implementations.
  • Coordinate HR training logistics and track completion.

Requirements
Preferred Qualifications:
  • 2+ years of HR, HRIS, payroll support, benefits administration, analytics, or business operations experience preferred.
  • Experience maintaining employee data and generating reports from enterprise systems preferred.

Technical Skills
  • Advanced Excel skills preferred, including pivot tables, VLOOKUP/XLOOKUP, and data analysis functions.
  • Experience with HRIS systems, reporting databases, SharePoint, and workflow automation tools preferred.
