O'Shaughnessy Theater at St. Catherine University invites applications for a full-time Interim Events and Operations Manager position.
The Events and Operations Manager (EOM) is responsible for enhancing, maintaining, and operating the internal organization and infrastructure necessary for O'Shaughnessy's continued success and growth.
They are responsible for managing administrative operations for the venue, including business operations: soliciting and fielding rental inquiries, drafting and reviewing rental contracts with clients, bookkeeping, invoicing, financial reporting, budgets, and sales reports; organizational statistical data for sponsorships and grant reporting.
The EOM will work with the O'Shaughnessy Sales and Marketing Manager, Events and Operations Coordinator, and Production Manager to maintain the facility, ensure programming and event needs are met at high standards, maintain organizational efficiency and pursue strategic initiatives set by the Director and the university.
They will also collaborate with O'Shaughnessy staff, the university business office, and other campus departments on all operational and event-related needs.
Reports directly to IEDOS.
OPERATIONS & ADMINISTRATIVE MANAGEMENT:
  • Oversees and completes day-to-day operational tasks to keep the venue organized and functioning on a highly effective administrative level.
  • Execute and maintain all rental contracts for the organization, and act as point person for all administrative logistics for rental clients.
  • Oversees the rental of the Frey Theater and Recital Hall spaces in addition to The O'Shaughnessy mainstage venue
  • Work with the Executive Director to execute logistics on presenting contracts.
  • Oversee concessions operations including stocking, reporting, and systems management to meet revenue goals.
  • Act as House Manager for select events, up to 12 per month.
  • Maintain and develop client relationships to meet rental revenue goals.
  • Manage the Ticket Office operations to maximize sales, meet all ADA requests, and ensure seamless patron experience.
  • Monitors public safety, event readiness, security, risk management, and accessibility needs, in conjunction with appropriate University departments.
  • Attend pre and post event meetings with rental clients and presented artists; collect feedback to inform a practice of continuous improvement for all FOH operations.

ADMINISTRATION:
  • Facilitate and ensure accurate deposits, cash advances, credit card reconciliations and tracking of concessions financials.
  • Maintain vendor, deposit, transfer and business files.
  • Maintain records of client engagements and relationships
  • Execute and maintain all rental contracts for the organization, and act as point person for all administrative logistics for rental clients.
  • Prepare and review relevant reports and data concerning attendance, utilization, revenue, expense, sales projections, rentals, donor and sponsor activity, equipment, and operations; use data to inform decision making and planning.

COMMUNITY ENGAGEMENT AND OUTREACH:
  • Develop rental client relationships with organizations aligned with the Mission, Vision, and Values of the University
  • Support donor and community partner cultivation, including pre and post event engagement opportunities.
  • Support The O'Shaughnessy to deliver thoughtful programming to St. Kate's students through engagement events including artist classroom visits, workshops, student performances, and other engagement activities for the campus community.
  • Represent The O'Shaughnessy at select community events
  • Work with the Sales and Marketing Manager to create marketing materials and digital journeys to represent the venue to patrons, community partners, and prospective rental clients.

Minimum Qualifications
  • Two years working in live events or event-based work in higher education institution in a supervisory or management capacity
  • Able to immediately handle a varied workload and effectively prioritize projects with a
  • high degree of autonomy in a fast-paced work environment
  • Ability to model and maintain a positive, "can do" attitude under pressure
  • Basic proficiency in Office 365 including Microsoft Excel.

Preferred Qualifications
  • 3-5 years experience in live events or event-based work in higher education institution.
  • Experience with event-based operations, administration, and revenue generation.
  • Bachelors degree
  • Working with ticketing systems in assigned seating venues; experience with
  • AudienceView Unlimited preferred.
  • Highly self directed - independently prioritizes work and takes initiative to achieve key
  • targets and execute responsibilities
  • Excellent decision making - able to make and clearly communicate decisions quickly and
  • within established procedures
  • Taking Ownership - the ideal candidate will be able to take ownership of key outcomes
  • and develop and execute strategies to achieve them

EEO Statement
Compensation:Annual wage is $51,500 - $67,500 depending on qualifications and experience.
The salary range listed reflects a good-faith estimate of what we reasonably anticipate to pay for this position, based on market data and internal equity, at the time of posting. Actual compensation will be determined based on qualifications, experience, skills, and other relevant factors. St. Catherine reserves the right to modify or adjust compensation depending on University needs.
Benefits:
This is a temporary position. Benefits available to temporary employees include sick pay, access to the Employee Assistance Plan (EAP), Butler Center access, and a supplemental 403(b) retirement contribution. Other benefits, such as medical insurance and tuition remission, are not provided for this temporary role.
