Job description

This is not a conventional Executive Assistant role. JTC is looking for a recent graduate in business, finance or a related discipline who wants to build a career in professional services from inside the executive suite, not the mailroom of one.

Working side by side with the Head of USA โ€“ Private Capital Services (and Head of JTC USA Group Office), the role exists to modernise how a senior leader with 25+ years of experience operates day to day. That means introducing AI tools, digital workflows and modern ways of working that free up time for strategy, people leadership and client growth โ€” and doing so with the confidence to challenge established habits rather than simply accommodate them.

The successful candidate will not have a traditional EA background or the fixed habits that can come with one. What matters is curiosity, digital fluency and the judgement to work closely and discreetly with a senior executive. In return, they gain indirect, sustained access to senior leadership inside one of JTCโ€™s most important and fastest-growing markets, at a formative stage of their career.

Diary management, meeting arrangement and travel booking remain part of the role, but only a small part of it. The greater part of the role is about modernising ways of working, not maintaining them.

MAIN RESPONSIBILITIES AND DUTIES
  • Redesign day-to-day workflows.
  • Use AI and digital tools to reduce manual admin and free up time for higher-value work.
  • Introduce modern productivity tools.
  • Identify, trial and embed tools and ways of working tailored to a senior executiveโ€™s needs.
  • Proactively look for opportunities to simplify how the Head of USA works, without being asked.
  • Maintain digital trackers and dashboards giving real-time visibility of priorities, actions and deadlines.
  • Track delivery of strategic priorities.
  • Monitor commitments across the US region and chase follow-up actions on the Head of USAโ€™s behalf.
  • Compile briefing packs, board papers and meeting materials, synthesising information from across the business.
  • Support senior governance forums.
  • Assist preparation for PCS Executive Committee, JTC USA Group Board and other senior meetings.
  • Use AI tools to accelerate first drafts of communications and reports, while preserving the executiveโ€™s voice.
  • Help the Head of USA review team output and prepare structured, constructive feedback.
  • Prepare for team meetings and one-to-ones.
  • Collate relevant data, context and follow-up items ahead of people leadership conversations.
  • Monitor team commitments and deadlines, flagging risks to the Head of USA early.
  • Use AI-assisted design tools to improve the quality and turnaround of decks and reports.
  • Ensure consistent JTC brand, tone and messaging across materials.
  • Introduce new formats and techniques where they improve clarity and impact.
  • Diary, Travel & Meeting Coordination (a small part of the role).
  • Coordinate the Head of USAโ€™s calendar and meeting logistics.
  • Book and coordinate travel efficiently, using digital tools to minimise manual admin.
ESSENTIAL REQUIREMENTS
  • Bachelorโ€™s degree in business, finance, economics or a related discipline.
  • Genuine interest in building a career in professional or financial services, ideally with JTC.
  • Confident, handsโ€‘on user of AI tools (e.g. Claude, ChatGPT, Copilot) and modern productivity software.
  • Naturally curious about new technology, quick to learn and adopt new tools and ways of working.
  • Strong written communication skills, able to draft clearly and professionally.
  • Good eye for presentation design and formatting (PowerPoint or equivalent).
  • High degree of discretion, professionalism and judgement when handling sensitive information.
  • Comfortable challenging established ways of working and offering a fresh perspective, no formal EA experience or preconceptions required.
  • Proactive, organized, and able to manage competing priorities with minimal supervision.
  • Resilient and adaptable, thriving in a fastโ€‘paced, evolving environment.
  • Willing and able to be office based in Delray Beach, Florida.
  • Willing to travel regularly across the US as required.
