Job Summary

Reporting to the Development Manager, the Development Operations Associate serves as the operational backbone of the Development & Communications department and is responsible for supporting the integrity and effectiveness of fundraising operations, donor data management, gift processing, reporting systems, donor stewardship administration, and departmental coordination activities.


The Development Operations Associate requires exceptional attention to detail, strong organizational and analytical skills, and the ability to manage multiple operational priorities in a fast-paced fundraising environment. The Development Operations Associate has a critical role in ensuring the accuracy, efficiency, and consistency of development systems and processes that support the organization’s philanthropic goals.

Key Responsibilities & Essential Functions

CRM & Database Administration

  • Serves as primary administrator for the Development Department CRM/database, including gift entry, constituent record management, data integrity, coding consistency, mailing list maintenance, and ongoing database hygiene.
  • Maintains accuracy and completeness of donor and gift records across all fundraising systems.
  • Oversees data imports, constituent updates, segmentation lists, and reporting preparation.
  • Assists in identifying and implementing database best practices and process improvements.


Gift Processing & Stewardship Administration

  • Processes charitable contributions and pledge payments in a timely and accurate manner.
  • Generates and coordinates donor acknowledgement and stewardship correspondence.
  • Maintains organized digital and physical fundraising records and documentation archives.
  • Tracks donor stewardship activities and supports acknowledgement workflows.


Reporting & Analytics Support

  • Prepares standard and customized fundraising reports, donor lists, queries, and dashboard support materials for leadership, board engagement, campaigns, and events.
  • Supports reporting needs related to fundraising performance, donor activity, and campaign tracking.
  • Maintains fundraising reporting systems and ensures accuracy and consistency of donor and gift data.
  • Assists with prospect research preparation and institutional fundraising support activities.


Finance & Reconciliation Coordination

  • Coordinates gift documentation and reconciliation processes with the Finance team to ensure accuracy and integrity of fundraising revenue records.
  • Assists with tracking event revenue, donor records, and reconciliation procedures.
  • Supports audit preparation and fundraising documentation requests as needed.


Events & Administrative Support

  • Provides operational and logistical support for fundraising events, donor stewardship activities, board functions, and special initiatives.
  • Supports donor mailings, meeting preparation, sponsorship tracking, and event coordination activities.
  • Assists with incoming in-kind donations and related coordination efforts.
  • Serves as support for departmental administrative and operational projects as assigned.

Community & Professional Communication

  • Maintains professional and collaborative working relationships with staff, donors, volunteers, board members, and external stakeholders.
  • Responds to donor and stakeholder communications in a timely and professional manner.
  • Participates in departmental meetings, trainings, and organizational initiatives as required.


Qualifications, Education & Experience

  • Bachelor’s Degree preferred.
  • 2–4 years of relevant development operations, fundraising administration, or CRM/database experience preferred.
  • Experience with fundraising CRM/database systems required; Raiser’s Edge NXT experience strongly preferred.
  • Experience with gift processing, reporting, and donor stewardship administration preferred.
  • Experience in nonprofit fundraising or advancement operations preferred.
