Description
The Development & Marketing Assistant is a full-time, core member of the Development team responsible for owning the DonorPerfect database, supporting all aspects of special events, and managing volunteer engagement for JFCS. This role is the operational backbone of the Development department, ensuring that donor data is accurate and actionable, that events are executed seamlessly from start to finish, and that volunteers are recruited, placed and supported in ways that strengthen the organization's community presence. The Development & Marketing Assistant also produces the JFCS Impact Report and serves as backup support to the Development and Marketing Director. This person ensures that all communications are aligned with the organization's integrated development & marketing plans, fundraising priorities and organizational strategy.
Requirements
Donor Perfect & Data Management
• Own and manage the Donor Perfect database as the primary administrator, ensuring data integrity, consistency and confidentiality at all times
• Create and maintain all donor records, including merging duplicates, updating addresses, flagging deceased or moved donors, managing relationship coding and soft credit tracking
• Enter all daily receipts into Donor Perfect promptly and accurately
• Generate donor acknowledgement letters and cards within 1-2 business days of receipt
• Generate weekly, monthly, quarterly and annual development reports, and as directed by the Director of Development & Marketing
• Prepare donor lists, digital and print mailings and reports
• Process and track tribute and memorial gifts, including timely acknowledgment to both the donor and the honoree's family, with accurate flagging in Donor Perfect
• Support annual fund and appeal mailings by pulling segmented donor lists, applying suppressions and managing address updates prior to mail runs
• Monitor and reconcile online giving platform data with Donor Perfect, identifying and resolving sync errors in a timely manner
• Serve as the internal resource and point of contact for all Donor Perfect questions, updates and troubleshooting
Events
• Manage all JFCS special events from concept through execution, ensuring financial and participation objectives are met
• Develop event timelines, budgets, run-of-show documents and post-event wrap-up reports
• Identify and secure venues, vendors and other resources required for each event
• Develop and produce all event communications and materials in coordination with Director of Development & Marketing
• Provide staff support for volunteers and committees charged with fundraising event responsibilities
• Analyze return on investment at the conclusion of each event to measure success and inform future planning
• Maintain website calendar and event listings
Digital & Social Media
• Own and manage all JFCS social media platforms (Facebook, Instagram, LinkedIn, YouTube, TikTok and emerging channels), including strategy, content, scheduling and performance tracking
• Serve as the primary point of contact with the JFCS website agency, managing content updates, change requests and ongoing communications; knowledge of website platforms preferred as the organization may transition to in-house management in the future
• Develop and execute email marketing campaigns through Constant Contact or similar platforms
• Assist in developing, launch and maintain both an external donor/community newsletter and an internal staff newsletter, in alignment with the organization's communications plan
• Manage the JFCS Google Ad Grant program, overseeing campaign execution and performance in coordination with the Grant Specialist; pursue additional paid advertising opportunities (social media, print, digital) as funding permits
• Track and analyze digital performance metrics and report findings to the Director of Development & Marketing monthly
Community Outreach
• Represent JFCS at community events, fairs, exhibitions and other outreach opportunities as needed to increase awareness and engagement in the agency mission
Impact Report & Communications Support
• Research, write and produce the JFCS Impact Report on a bi-annual basis in collaboration with the Director of Development & Marketing
• Serve as backup support for the Communications Specialist, including assistance with content, mailings and donor communications as needed
• Other duties as assigned
Required Qualifications:
• Associate's degree required; Bachelor's degree in Nonprofit Management, Communications or related field preferred
• Minimum of two years' experience in a development or nonprofit administrative role with direct responsibility for data management and event coordination
• Demonstrated experience with Donor Perfect or comparable CRM platform
• Demonstrated experience planning and executing events
• Budget and financial literacy
Knowledge, Skills & Abilities:
• Advanced proficiency in Donor Perfect, including reporting, record management and database administration
• Proficiency in Microsoft Office and Constant Contact or similar platforms, as well as, Adobe Creative Suite
• Strong written and verbal communication skills
• Excellent time management, organizational and project management skills
• Ability to manage multiple priorities and meet deadlines in a fast-paced environment
• Ability to work independently while contributing to a collaborative team environment
• High degree of accuracy and attention to detail
• Commitment to donor confidentiality and data privacy

Training Requirements:
• Completion of all required agency-wide and program-specific training courses
Physical Requirements:
• Desk work with computer usage for extended periods
• Occasional irregular hours and capacity to work under pressure
• Must be able to travel to off-site meetings and events during and outside of typical business hours
• Ability to lift and carry up to 30 pounds for event setup and breakdown
