The Executive Assistant provides high-level administrative support to senior executives by managing complex schedules, coordinating meetings and travel arrangements, handling confidential information, and supporting key office operations. This role serves as a trusted liaison between executives and internal and external stakeholders, ensuring efficient communication, organization, and execution of administrative functions. The Executive Assistant maintains strict confidentiality and adheres to all privacy and compliance standards while supporting executive leadership.

Key Responsibilities:

  • Manage and maintain complex executive calendars, including scheduling appointments, meetings, and events.

  • Coordinate and organize executive meetings, including preparing agendas, meeting materials, and follow-up communications.

  • Arrange and manage domestic and international travel logistics, including itineraries, accommodations, and expense reporting.

  • Prepare, edit, and format executive presentations, reports, correspondence, and other business documents.

  • Handle confidential and sensitive information with the highest level of discretion and professionalism.

  • Serve as a primary point of contact between executives and internal and external stakeholders.

  • Coordinate office operations and administrative activities to support executive leadership objectives.

  • Screen and prioritize communications, including emails, phone calls, and correspondence.

  • Support special projects and initiatives as assigned.

Required Qualifications

  • Associate's degree in Business Administration, Healthcare Administration, or a related field, or an equivalent combination of education and work experience.

  • Three to five years of experience as an administrative assistant, executive assistant, or in a related role.

  • Minimum of two years of experience supporting senior executives in a fast-paced, complex work environment.

  • Strong organizational, time management, and multitasking skills.

  • Excellent written and verbal communication abilities.

  • Proficiency with Microsoft Office Suite and other business software applications.

  • Ability to maintain confidentiality and exercise sound judgment.

Preferred Qualifications

  • Bachelor's degree in Business Administration, Healthcare Administration, or a related field.

  • One year of experience working in a healthcare environment.

  • Experience coordinating executive-level meetings, presentations, and travel arrangements.

  • Familiarity with healthcare privacy and compliance requirements.
