The Front Office Coordinator role will serve as the primary point of contact for patients undergoing treatment, while working closely with both providers and staff. This role will involve providing empathetic support to individuals facing a cancer diagnosis and assisting those currently receiving treatment. The Front Office Coordinator will interact regularly with patients and their families, healthcare providers, vendors, and business partners, ensuring a seamless and supportive experience for all.


Essential Duties and Responsibilities

  • Support healthcare providers in delivering exceptional patient care within a collaborative care team model.
  • Schedule and manage patient appointments efficiently.
  • Independently obtain, organize, and maintain accurate and up-to-date medical records for patient charts.
  • Ensure smooth appointment flow and maintain organization of the daily schedule, proactively addressing scheduling conflicts or delays.
  • Manage patient calls, including appointment reminders, follow-up communications, and inquiries with professionalism and empathy.
  • Complete environmental service tasks as needed to ensure a clean, welcoming, and safe environment for patients and staff.
  • Work recall task lists to follow up with patients for appointments, treatments, or additional care needs.
  • Organize and manage incoming and outgoing faxes, ensuring timely distribution and documentation.
  • Provide exceptional customer service, maintaining a patient-centered approach and commitment to service excellence.
  • Build and foster positive working relationships with patients, providers, and team members to promote collaboration and a supportive environment.
  • Perform other administrative and operational duties as assigned to support the efficient operation of the clinic.
  • Facilitate collection and integration of external medical records and diagnostic reports, ensuring completeness of patient charts prior to provider review.
  • Coordinate administrative and clinical scheduling, including radiation therapy, imaging, and follow-up care appointments.
  • Manage clinic flow efficiently, proactively adjusting to provider schedules and patient needs to reduce wait times and optimize care delivery.
  • Perform daily clinical environment preparation, including room turnover, supply stocking, equipment checks, and readiness for the following clinic day.
  • Understand and assist with insurance verification and patient payment options, supporting patients through billing processes.
  • Maintain compliance with HIPAA, infection control protocols, and organizational policies, ensuring a safe and secure environment for patients and staff.
  • Assist in quality improvement initiatives, contributing to documentation accuracy, workflow optimization, and patient satisfaction efforts.
  • Participate in team huddles and staff meetings, contributing to a culture of continuous improvement and collaboration.
