Job description

Community Solutions, Inc. is seeking a dedicated and passionate Senior Administrative Assistant to join our team at our new Multi-Dimensional Anti-Recidivism Partnership (MAP) located in San Bernardino, CA. MAP is an innovative program dedicated to engaging the community and providing rehabilitative programming for justice-involved individuals. We focus on promoting long-term, self-sustaining skills through vocational training and personal development services. This unique model hosts a variety of sub-contractors at one site to reduce barriers for clients. As a Senior Administrative Assistant at our MAP programs, you will be working closely with the Area Director and Program Director, providing re-entry services to a criminal justice impacted population. You will be responsible for computerized facility information and will complete reports as needed/directed.
Essential Responsibilities:
  • Provide overall administrative support, including but not limited to: incoming calls, faxes, incoming and outgoing mail.
  • Assist manager in various projects including, but not limited to: budget development, contract proposals, proposal writing, grant requests and new initiatives.
  • Organize and maintain up-to-date and orderly assigned office files, and continually record and update information.
  • Computerize Agency information and complete reports as needed or directed.
  • Compile quarterly and annual statistics.
  • Handle outside inquires and staff requests regarding department issues as assigned.
  • Write letters and other correspondence as assigned.
  • Research and compile information in areas of office management such as pricing of office supplies, printing, posting, and office equipment.
  • Maintain an inventory of office/program supplies, order as required.
  • Assist Manager in monitoring department information and other assigned weekly, monthly and quarterly reporting.
  • Maintain a working knowledge of and abide by the Agency's programs, policies, and procedures.

  • Perform other duties as assigned by the supervisor.

Schedule: Primary shifts are Monday - Friday, between the hours of 8:00am to 5:00pm, but some after-hours and Saturday hours for events/support.
Hourly Rate: $26.45
Qualifications:
  • A Bachelor's Degree plus 5 years of administrative experience. Education may be substituted with relevant experience on a one year for one year basis.
  • Must have experience with Microsoft Word, Excel, Access, Windows, and Outlook.
  • Strong computer and analytical skills required
  • Speed, accuracy and high-volume productivity required.
  • Ability to multitask and use independent judgment to plan, prioritize, and organize workload.
  • Professional in appearance and demeanor with strong interpersonal skills.
  • Confidentiality in this role is essential.
