The Administrative Assistant will provide comprehensive administrative support to the Middletown facility, ensuring smooth daily operations. Responsibilities include a wide range of clerical, receptionist, and project-based tasks. This role requires a highly organized and detail-oriented individual who can manage multiple priorities while maintaining a professional and welcoming presence, both in person and over the phone, to represent the company in a positive manner.
How you'll make an impact...
Administrative Support
  • Prepare correspondence and presentations using Microsoft Office
  • Set up and coordinate meetings and conferences
  • Support staff in assigned project-based work
  • Follow up on timelines and deliverables
  • Participate in cross-functional teams
  • Advise team of any issues to ensure excellent customer service

Office Coordination
  • Answer phones for the facility and maintain the campus directory
  • Meet and greet clients, visitors, and employees
  • Prepare and coordinate incoming USPS mail and express packages
  • Maintain hard copy and electronic filing systems
  • Maintain filing system for Production Orders after shipping
  • Maintain electronic employee communication boards

Procurement & Inventory Management
  • Prepare purchase requisitions in SAP for office supplies and various items
  • Assist with procurement workflows as necessary
  • Oversee the clothing and safety shoe programs, including ordering and distribution
  • Create check requests for clothing and safety shoe reimbursements
  • Assist with restocking and maintaining the First Aid cabinets
  • Maintain inventory and set up campus lunches

Employee & Visitor Support
  • Assist with employee-related tasks such as:
    • New employee orientation lunch
    • Lockout/tagout (LOTO) support
    • Badge photos and production
    • Collection of items upon employee departure
  • Prepare monthly service awards for the Anniversary Program
  • Lead the Employee Activities Committee, including:
    • Managing the budget
    • Coordinating meetings
    • Organizing engagement events
  • Travel Administrator:
    • Administer all U.S. employee travel arrangements
    • Ensure compliance with company travel policies
    • Coordinate transportation and accommodations for Weidmann guests
  • Partner with leadership to ensure visitor safety compliance and a safe environment

Reporting & Recordkeeping
  • Collect and prepare the weekly Hi-Lo report for site
  • Preparing SMT agenda for distribution per schedule
