Job description

General Summary: The project coordinator performs general project responsibilities in support of the Project Team. In addition, this position assists their division by performing reception and other office duties as needed.
Essential Duties and Responsibilities:
1. Responsible for project specific duties including, but not limited to:
• Attends the 1-2-3 Go! Kick Off and 3-2-1 Closeout Meeting
• Gathers information to setup project specific templates
• Ensures that all applicable subcontractor licensing is current
• Prepares the Premier payment application with the necessary items from the approved sworn statement
• Creates, requests and compiles subcontractor waivers for the payment applications and check runs
• Packages owner and subcontractor documents (contracts and change orders) for routing through Procore and DocuSign
• Requests and compiles closeouts from subcontractors
2. Follows up with subcontractors for unconditional waivers after funds are received
3. Reviews subcontractor waivers for accuracy and requests revisions as needed
4. Reviews documents prior to sending for visual organization and clerical errors
5. Follows up with the necessary parties to receive timely responses on urgent or outstanding items
6. Electronically saves completed documents and files
7. Document Management: file naming and saving in the appropriate file location
8. Assists the project management team with additional tasks as requested
9. Performs related duties as assigned or as the situation dictates
10. General Office responsibilities:
• Welcomes clients, guests, and all visitors either in person or via telephone
• Addresses all general office inquiries personally or routes to other applicable company personal
• Receives, sorts, and distributes all mail and deliveries, as well as handles outbound mail/shipments
• Maintains office space and conference room areas to ensure each appears in a professional and organized manner

Required Knowledge, Skills, and Abilities:
1. Consistently exhibits a team oriented, customer focus with strong attention to detail
2. Knowledge of Microsoft Office Products including Word, Excel, and PowerPoint as well as Google Chrome

4. Ability to plan and prioritize work autonomously
5. Ability to conduct oneself in a professional manner to both internal and external customers
6. Skilled in communication (both in person and via phone and other media) for the use of information exchange
7. Must be assertive, and display a sense of urgency, motivation, confidence, and a self-starter
8. Ability to fulfill requirements to become a Notary Public
Salary Range $55,000.-$60,000. annually plus benefits
