Job Overview

Marketech International Corporation USA is seeking an organized, detail-oriented, and proactive Department Assistant to provide comprehensive administrative, operational, and coordination support for our project and procurement teams.

This role serves as a key communication bridge across departments, assisting with documentation management, scheduling, vendor correspondence, data entry, and day-to-day workflow coordination. The ideal candidate thrives in a fast-paced, high-tech engineering environment, possesses strong communication skills, and can effectively manage multiple administrative priorities to ensure smooth departmental operations.

Key Responsibilities
  • Administrative & Office Support:

    • Manage department calendars, schedule internal and external meetings, coordinate travel arrangements, and handle meeting logistics.

    • Maintain departmental files, shared drives, and documentation systems in an organized, easily accessible manner.

  • Documentation & Data Management:

    • Assist in generating, formatting, and proofreading routine reports, memos, presentations, and project-related paperwork.

    • Input, update, and track departmental data, purchase requisitions, and inventory or vendor logs accurately within internal databases or ERP systems.

  • Cross-Functional Coordination:

    • Act as a point of contact for internal stakeholders, project teams, engineering, and warehouse operations to relay messages and streamline workflows.

    • Assist the procurement and project management teams with basic supplier correspondence, follow-ups, and tracking shipping or delivery updates.

  • Meeting & Communication Facilitation:

    • Prepare meeting agendas, take detailed minutes during operational reviews, and track action items to ensure follow-through.

    • Handle incoming inquiries, phone calls, and correspondence, directing them to the appropriate team members promptly.

  • General Workflow Assistance:

    • Support onboarding and orientation for new department personnel by coordinating equipment, workspace setup, and training schedules.

    • Perform ad-hoc administrative duties and assist with special projects as assigned by department leadership.

Qualifications & Requirements
  • Experience: 1–3 years of experience in an administrative assistant, office coordinator, or clerical support role, preferably within engineering, construction, high-tech manufacturing, or industrial environments.

  • Education: High school diploma required; Associate's or Bachelor's degree in Business Administration, Communications, or a related field is a strong plus.

  • Technical Skills:
