Position Summary

The Sales Coordinator supports and maintains alignment between the Commercial and Operational teams with regards to the promotion, sale, production, and delivery of reconditioned Genie aerial work platforms. The position is the central coordination point among Customers, Sales Leadership, Operations, Engineering, Quality, Supply Chain, and Accounting. Coordinating with the customer includes communication of order status including projected ship dates, freight planning, and post-sale follow-up.

This position requires independent judgment within established company policies and delegated authority. The position independently coordinates routine transactions, resolves routine issues, identifies emerging risks, and escalates pricing, contractual, operational, and other non-standard matters to the appropriate authority. 

Essential Responsibilities

  • Coordinate day-to-day sales activity for reconditioned Genie aerial equipment and support customers throughout the sales and delivery process.
  • Maintain accurate customer, prospect, equipment, quotation, opportunity, and transaction information in CRM, ERP, inventory, and other business systems.
  • Coordinate equipment availability and reconditioning status with Operations and monitor equipment readiness against customer commitments and delivery schedules.
  • Support the preparation of quotations, proposals, purchase orders, and transaction documentation, verifying equipment specifications, pricing, customer information, delivery requirements, and transaction details for accuracy.
  • Coordinate required approvals for exceptions and non-standard customer requirements, routing them to the appropriate authority for review and decision.
  • Track open opportunities and transactions through completion, identify aging opportunities and stalled transactions, and drive appropriate follow-up toward resolution.
  • Coordinate delivery requirements with Logistics and Operations and communicate changes, delays, documentation gaps, production issues, or other risks that could affect customer commitments.
  • Coordinate invoices, certificates, titles, inspection documents, warranty information, shipping documentation, and other required transaction records and support post-sale customer follow-up.
  • Support sales leadership with customer presentations, proposals, equipment listings, photographs, sales materials, customer research, trade shows, and customer visits.
  • Support prospect development and targeted outreach by researching potential customers, including rental companies, equipment dealers, fleet operators, contractors, and other purchasers of reconditioned equipment.
  • Prepare sales reports and management updates that maintain visibility into sales activity, open opportunities, equipment availability, customer commitments, transaction status, and expected sales.
  • Identify recurring problems in the sales-to-delivery process, recommend practical process improvements, and develop or maintain sales coordination tools, checklists, reports, and procedures.
  • Maintain professional, timely customer service and communication at all times.
  • Perform other duties as assigned to support the commercial and operational needs of the business.

Authority & Decision-Making

The Sales Coordinator exercises independent judgment within established company policies and delegated authority. The position is expected to independently coordinate normal transactions, resolve routine issues, maintain appropriate follow-through, and recognize matters requiring escalation.

The Sales Coordinator does not independently:

  • Change established pricing or discount structures.
  • Make contractual commitments on behalf of the company.
  • Offer non-standard warranties, guarantees, or other customer commitments.
  • Commit equipment when availability, condition, or completion timing is uncertain.
  • Provide significant customer concessions without appropriate approval.
  • Create financial, legal, operational, or reputational commitments outside established authority.

When authority is unclear, the Sales Coordinator is expected to verify the appropriate authority and escalate the matter rather than make an unauthorized commitment.

Qualifications

Required

  • Associate degree in business, marketing, sales, operations, communications, or a related field; equivalent relevant experience may be considered.
  • Three to five years of experience in sales coordination, sales operations, customer service, equipment sales, manufacturing, distribution, or a related environment.
  • Strong organizational, prioritization, and follow-through skills with a high level of attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple transactions, customers, priorities, and deadlines simultaneously.
  • Proficiency with Microsoft Office, including Excel, Outlook, Word, and PowerPoint.
  • Ability to learn and effectively use CRM, ERP, inventory, and other business systems.

Preferred

  • Experience with heavy equipment, aerial work platforms, construction equipment, rental equipment, manufacturing, distribution, or industrial sales.
  • Experience coordinating equipment sales from quotation through delivery.
  • Experience working with equipment dealers, rental companies, fleet operators, contractors, or industrial customers.
  • Familiarity with equipment specifications, transportation logistics, purchase orders, and commercial documentation.
  • Experience using CRM or sales pipeline management software.

  • Ability to operate effectively in a growing manufacturing and equipment-reconditioning environment.

Physical & Work Environment

This position is primarily office-based but regularly interacts with Genie Reconditioning’s production, warehouse, and equipment areas. The employee must be able to safely enter production and equipment areas, follow all required PPE and safety requirements, and walk through industrial environments where moving equipment, noise, and varying temperatures may be present.

The role may occasionally require inspecting or photographing equipment, attending customer meetings, participating in trade shows or customer events, and traveling as required to support the commercial process.
