As a Sales Services Coordinator, you're not just supporting events from sale to execution - you're spreading the light and warmth of hospitality by delivering memorable experiences that make the stay for every guest.
Responsibilities
Here's what you'll do during a typical day:
  • Provide exceptional client service: Respond to inquiries, manage calls and emails, and provide timely, professional support throughout the event planning process
  • Support the sales process: Assist with client meetings and site inspections, and help deliver a seamless planning experience from proposal through execution
  • Coordinate event logistics: Input and update event details in booking systems, coordinate site visits, and arrange VIP services
  • Prepare and distribute documents: Create and share Banquet Event Orders (BEOs), group resumes, menus, diagrams, and post-event reports to ensure alignment across teams
  • Stay organized and detail-focused: Prioritize tasks, manage timelines, and maintain accurate records to support high-quality service and operational efficiency

In addition, the candidate must be able to demonstrate the following skills, abilities and knowledge:
  • Associate's Degree in Hospitality Management, Business Administration, Marketing, Communications, or related field required
  • Bachelor's Degree, preferred

  • to 3 years of experience in:
    • Hotel sales
    • Hospitality administration
    • Sales support
    • Customer service
    • Event coordination
  • Experience preparing proposals, contracts, reports, and correspondence.
  • Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams).
    • Strong Excel skills including spreadsheets, tracking logs, and reporting.
    • CRM experience preferred (Salesforce, Delphi, CI/TY, or comparable sales software).
    • Knowledge of hotel sales processes, group bookings, and catering/event coordination preferred.
    • Ability to prepare and manage:
      • Contracts
      • Proposals
      • RFP responses
      • Banquet Event Orders (BEOs)
      • Booking reports

    • Fully bilingual (English and Spanish) required.
    • Excellent verbal and written communication skills in both languages.
