Client Service Associate
Job Description:

Dynamic financial services firm seeks self-starter to keep growing office organized. This integral position will provide exceptional customer service to clients, work directly with, and support the administrative needs of our financial advisors and assist with the workflow needs of the office.
Summary:

The ideal candidate is honest, hard-working, ethical, and friendly; has a high level of integrity; and wants to be challenged. Must be organized, possess strong attention to detail, be able to work independently and solve problems, be comfortable on the phone and handle multiple projects simultaneously. Must be comfortable with technology and internet savvy. Experience in Microsoft Office Suite is required. Must be able to handle customer service and client needs. Must be highly adaptable and team oriented.
Principal Responsibilities:

  • Help advisor prepare for client meetings; process new business, completing all forms correctly and submit them for processing within one business day; track all pending business paperwork; follow up on outstanding items; maintain pending business summary and update advisor weekly; file client statements, correspondence, and agreements completely within five business days.
  • Anticipate advisor needs and handle them proactively.
  • Maintain CRM system to enter new contacts, update existing contacts, and utilize, update, and create workflows.
  • Answer the phone and handle all client services issues within capacity.
  • Use excellent customer service skills to build client relationships.
  • Draft letters as directed by advisor, prepare, and send outgoing mail.
  • Assist advisor with marketing efforts, coordinate marketing events and activities, spearhead special projects; other marketing activities as determined.
  • Become familiar with and backup receptionist position.
  • Make suggestions to systematize and improve office functions.
  • Other miscellaneous tasks as assigned.
Required Skills/Knowledge/Competencies:

  • 1+ years of experience as an administrative assistant in the financial services field
  • Strong organizational skills; detail oriented; strong decision-making and analytical skills; ability to work independently; ability to maintain attention to detail while under pressure.
  • Strong technical aptitude, including strong PC, internet, and software skills; ability to use multiple technology platforms.
  • Superior interpersonal, oral, and written communications skills
  • Notary Public license a plus
Job Type: Full-time
