Job description

Bob’s Motorcycles is seeking a detail-oriented and customer-focused Dealership Administrative Assistant to support the daily operations of our dealership in Jessup, MD.
 
This position plays a key role in supporting the Finance and Sales Department through deal processing, title and registration administration, bookkeeping support, and general office operations. The ideal candidate is organized, accurate, proactive, and comfortable managing multiple priorities in a fast-paced environment.

Schedule is Tuesday through Saturday. Flexible hours may be available.
 
Key Responsibilities:
Administrative Support:
  • Answer and direct incoming phone calls professionally and courteously.
  • Maintain organized digital and physical filing systems.
  • Assist management with reporting, data entry, and administrative projects.
  • Provide administrative support to the sales, service, and parts departments.
  • Maintain accurate financial and operational records.
  • Assist with bookkeeping and accounting-related tasks.
  • Support month-end and year-end closing processes.
  • Perform additional administrative duties as assigned.
 
Finance & Sales Support:
  • Verify, prepare, and submit tag and title paperwork accurately and on time.
  • Process in-state and out-of-state title documentation.
  • Prepare and maintain deal jackets and sales files.
  • Ensure sales documentation is complete, compliant, and properly filed.
  • Coordinate with lenders, MVA, and tag agencies as needed.
  • Track and follow up on outstanding paperwork and title requirements.
  • Enter new motorcycle inventory and invoices into dealership management systems.
  • Process and enter tag and title invoices.
  • Maintain lot books and title records.
  • Process used motorcycle purchases, trade-ins, and loan payoffs.
  • Prepare payments associated with vehicle purchases and payoffs.
  • Submit service contracts and other F&I products.
  • Stay current on title and registration regulations and requirements.
 
Qualifications:
  • Previous administrative, office, bookkeeping, or dealership experience.
  • Previous tag and title experience preferred.
  • Strong computer skills, including Microsoft Office.
  • Experience with VITU OLRS is a plus.
  • High level of accuracy and attention to detail.
  • Strong organizational and time-management skills.
  • Ability to manage multiple priorities and meet deadlines.
  • Strong problem-solving and critical-thinking abilities.
  • Basic accounting and bookkeeping knowledge.
  • Ability to read and interpret sales agreements, procedural documents, and title regulations.
  • Excellent communication and customer service skills.
  • Reliable, self-motivated, and team-oriented.
  • Ability to pass a criminal background check and drug screening.
 
Compensation:
$19-$21 per hour based on experience and qualifications.
