Our Major Projects group is currently looking to add a Document Controller to our growing team, based in Edmonton, AB, Calgary, AB or Markham, ON.

Reporting to the Project Manager, we are seeking a Document Controller who has knowledge and experience to manage the project document databases, including the collection, digitization, classification and loading of critical project documents and fundamental project information, with accurate and timely transmission and distribution.

Duties and Responsibilities

  • Communicate with client contacts regarding document control and DDM requirements
  • Liaise with both internal and external customers in a timely and professional manner
  • Manage the client DDM system on behalf of Valard
  • Ensure correct electronic format, metadata and filing of all project documents
  • Ensure project documents are transmitted and distributed correctly in an efficient manner
  • Perform regular quality checks of the project databases for accuracy
  • Identify and report any deficiencies in the DDM system, documents and procedures
  • Assist the project team with the DDM systems (access, training, troubleshooting)
  • Assist the project team in locating documents and/ or related information
  • Communicate with internal and external helpdesks pertaining to any DDM system issues
  • Offer suggestions for improvements in processes and system functionality
  • Create project information (summaries, status updates, reports, instructions) as requested
  • Administrative duties to assist the project team

Requirements

  • 5+ years of experience in managing project documentation in an engineering or construction environment
  • Post-secondary education in a related field
  • Working knowledge of various databases, including implementation, development, training and troubleshooting
  • Highly proficient with the Microsoft Office suites of software
  • Highly proficient in data and document management systems
  • Experience with engineering/ construction document management

Preferred Skills / Qualifications

  • Specific experience with Aconex and SharePoint
