The SouthWest Metro Intermediate District #288 has an opportunity for a Special Education Administrative Assistant (.6 FTE) located at Dean Lakes Education Center in Shakopee, MN.ย

Description:
Special Education Administrative Assistant, 5 hours a day for 167 Contract Days.
Pay & Benefits:ย 
The pay range for this position is $27.85-$31.60 per hour based on experience.
Job Summary:
Provide administrative clerical support and special education due processes support for district programs.










  • Serves as receptionist for as needed, greets visitors and directs them to the appropriate party
  • Assist staff with student transportation issues, communicating with bus contractors if needed
  • Purchases office and copier supplies and updates the postage machine as needed.
  • Creates intake packets, sets up and scans all new student information into SpEd Forms
  • Schedules and sends out due process documents as required
  • Distribute documents to MARSS Coordinator/Case Manager/ Social Worker/Nurse/ Food Service
  • Request student records as needed Assist teaching staff with the use of due process SpEd Forms
  • Maintain due process files create new student files, file private student paperwork, secures special education files, organizes files according to district procedures, shredding appropriate documents prior to transfer of files to district office, Scan due process records into historical database Develop and maintainย database management systems for student information: maintain student databases, rosters, maintain caseload lists, and ER annual dates, due process paperwork timelines and teacher information as directed.
  • Schedule IEP
  • Photo copying, collating, word processing, faxing, creating forms, filing, ordering, organizing, answering the phone, taking messages, copy/mail documents to other districts/agencies upon request and release, contact previous schools for records, email communication, and mailing
  • Assists substitute teachers and paras to their assignments
  • Distribute incoming mail
  • Updates calendars as needed
  • Assists staff with build keys
  • Secure building doors and lights at the end of each day
  • Other duties as assigned


Qualifications:

  • High School Diploma or GED equivalent.
  • Knowledge of current Minnesota graduation requirements and state exams;
  • Knowledge of Microsoft Word, Excel, and other software packages used for reporting as well as familiarity with office equipment (copiers, fax, etc.);
  • Demonstrated resourcefulness, taking the resources of the organization into consideration;
  • Strong understanding of performance assessment. Proficiency in training and program development for adult learners;
  • Ability to analyze and interpret data; Ability to communicate effectively and to establish and maintain productive working relationships with staff, business associates, and general community;
  • Ability to work on multiple tasks and prioritize appropriately;
  • Ability to exercise initiative and make independent decisions to reschedule work to meet deadlines or to effectively handle emergency work;
  • Ability to maintain strict confidentiality in working with records and confidential information.
