Job description

Position: Data Management Specialist
Location:  Onsite, Dallas, TX

Position Summary

The Data Management Specialist supports the Client’s National Customer Service Improvement Project (CSIP) by ensuring the accuracy, integrity, organization, and usability of data used to support grants management, monitoring, reporting, and program oversight for the Client. This role is responsible for data quality oversight, records management, workflow tracking, and maintenance of data assets and systems that support day-to-day operations and decision-making.

The Data Management Specialist works closely with the Data Engineer/Data Project Lead, Data Analysts, Data Visualization Specialists, and program staff to ensure data are reliable, well-documented, and aligned across systems in accordance with federal standards and Client requirements.


Primary Responsibilities

  • Support data quality assurance and validation activities to ensure accuracy, completeness, and consistency of program and grants management data.
  • Review data maintained in federal systems, tracking tools, and operational datasets to identify discrepancies, outdated records, or potential quality issues.
  • Support implementation of data governance practices appropriate for federal grants and program oversight environments.
  • Assist in mitigating competing sources of truth by promoting alignment across systems and tools.
  • Create, update, and maintain data assets and records that support grants administration, monitoring, and oversight activities.
  • Support proper organization, maintenance, and documentation of records in accordance with OHS procedures and federal records management requirements.
  • Assist with metadata management and documentation to support data transparency and usability.
  • Maintain and support workflow and task tracking tools (e.g., Smartsheet-based solutions) used to track grants management activities, requests, and timelines.
  • Update and manage trackers related to applications, monitoring activities, correspondence, staffing, and other administrative workflows.
  • Support generation of standard reports, status updates, and tracking summaries using maintained data assets.
  • Support data integration efforts by coordinating with data engineering staff to validate inputs and outputs from integrated systems.
  • Assist with data entry, updates, and corrections in systems and tools used to support grants administration and oversight.
  • Respond to data-related requests by locating, compiling, and organizing relevant data and records.
  • Develop and maintain documentation related to data assets, workflows, and procedures.
  • Support development of guidance and reference materials to promote consistent data practices across teams.
  • Contribute to data-informed process improvement efforts by identifying opportunities to improve efficiency and data reliability.


Required Qualifications


  • Bachelor’s degree in information management, library science, information systems, public administration, or a related field from an accredited institution.
  • 3+ years of post-baccalaureate professional experience directly related to data management, records management, or information management.
  • 1+ years of experience supporting data quality assurance, validation, or governance activities.
  • 1+ years of experience managing or supporting document or record management systems.
  • 1+ years of experience supporting federal programs or grants management environments; early childhood or Head Start/Early Head Start is preferred.   
  • US government-issued security clearance required (will be initiated upon hire)
  • Valid driver’s license and ability to pass an MVR check.

 

Preferred Qualifications

  • Strong attention to detail and commitment to data accuracy.
  • Experience working with spreadsheets or data management tools (e.g., Excel or Smartsheet), with advanced proficiency in at least one.
  • Basic familiarity with structured data and databases; introductory SQL knowledge preferred.
  • Strong organizational and documentation skills.
  • Ability to manage multiple tasks and priorities in a collaborative environment.
  • Strong written and verbal communication skills.
  • Experience supporting federal programs or grants management environments.
  • Familiarity with federal data governance or records management requirements.
