Position Summary

Legacy Risk Solutions is seeking a highly organized and detail-oriented HR & Data Management Administrative Assistant to join our growing team. This hybrid role supports both Human Resources operations and the administration of key agency systems, helping ensure an exceptional employee experience while maintaining the integrity of critical business data.

The ideal candidate enjoys working behind the scenes to improve processes, maintain accurate data, and support employees throughout the entire employment lifecycle.


What You'll Do

Human Resources Operations

Support the employee lifecycle by assisting with onboarding, offboarding, and employee engagement initiatives.

Prepare new hire documentation, welcome communications, and onboarding materials.

Coordinate first-day logistics with hiring managers, IT, and other internal departments.

Assist with payroll-related onboarding activities and employee record updates.

Prepare separation documentation and coordinate employee exit surveys.

Monitor the shared HR inbox and route employee inquiries to the appropriate team members.

Assign, track, and monitor 90-day performance reviews within Paylocity.

Coordinate employee recognition programs, milestone celebrations, bereavement acknowledgments, and company-sponsored events.

Support HR projects and initiatives that enhance the employee experience.


Data & Agency Management System Administration

Learn and support the administration of the Agency Management System (AMS) through structured, on-the-job training.

Maintain producer commission structures and ensure timely, accurate updates within the AMS.

Assist with ongoing data quality initiatives by identifying and correcting duplicate, incomplete, or inaccurate records.

Support data governance efforts by maintaining documentation and promoting consistent data entry standards.

Utilize HRIS, agency management systems, and Microsoft Office applications to maintain accurate employee and operational records.

Prepare reports and assist with special projects that improve operational efficiency and data integrity.

Requirements

What We're Looking For

High school diploma or equivalent required; Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field preferred.

One or more years of administrative, Human Resources, operations, or office support experience preferred.

Insurance agency experience is a plus but not required.

Strong attention to detail with the ability to manage data accurately and confidentially.

Proficiency in Microsoft Office Suite, including Outlook, Excel, and Word.

Experience with Paylocity or another HRIS/payroll platform is preferred.

Willingness to learn and become proficient in an Agency Management System such as Applied Epic or similar platforms.

Excellent organizational, time management, and multitasking skills.

Strong written and verbal communication skills.

Ability to handle confidential information with professionalism and discretion.

Self-motivated, dependable, and committed to continuous learning and process improvement.
