The Database Reporting Associate supports the maintenance and use of the Raiser’s Edge NXT database to assist development and fundraising operations, serving as the primary liaison with Blackbaud for system updates, enhancements, and issue resolution. Performs gift processing, data integrity, and routine database maintenance, ensuring accurate and timely entry of donations and reconciliation with financial records. Generates standard and ad hoc reports, dashboards, and data exports to support development activities. Assists with prospect research and management, maintains documentation and procedures, and supports the implementation of new technologies, including AI-driven tools, to improve data management, reporting, and system integration. This position is part of the Office of Development at the National Academies of Sciences, Engineering, and Medicine, which secures philanthropic support to advance the institution’s mission of providing independent, evidence-based advice on critical challenges.

Responsibilities

Database Administration & Data Integrity

  • Supports administration of the Raiser’s Edge NXT database, partnering with Blackbaud to coordinate system updates, troubleshoot issues, and implement enhancements.

  • Follows established data maintenance schedules and procedures, completing routine data clean-up, audits, and integrity checks.

  • Maintains data quality standards across donor and prospect records, ensuring accuracy, consistency, and reliability.

Gift Processing & Donor Records

  • Processes and records gifts from multiple departments, ensuring accurate and timely entry and proper documentation.

  • Generates and distributes daily, weekly, and monthly gift reports.

  • Produces electronic and mailed donor receipts and collaborates with stewardship staff to support timely and accurate donor acknowledgments.

Reporting & Analysis

  • Prepares standard and ad hoc reports, queries, dashboards, and data exports to support development operations and track fundraising performance and strategic initiatives.

  • Consults with development staff to identify reporting needs and provides guidance on routine database functions and report usage.

Financial Reconciliation & Compliance

  • Supports weekly and monthly reconciliation processes with finance staff to ensure alignment between development and financial records.

  • Assists with routine financial reporting and audit support activities.

Prospect Management & Research

  • Supports prospect research and management activities, including donor profile creation, pipeline tracking, and data quality management.

Systems, Tools & Process Improvement

  • Supports the use and testing of new tools and technologies, including AI-enabled tools, to improve data management, reporting workflows, and system integration.

  • Collaborates with IT on technical requirements and data-sharing solutions.

  • Maintains and updates documentation for database and gift processing procedures, contributing to standard operating procedures and advancement services best practices.

Collaboration & Special Projects

  • Contributes to cross-functional initiatives and special projects to improve advancement services operations and fundraising effectiveness.

Requirements

Knowledge, Skills, and Abilities (KSA)

  • Working knowledge of Raiser’s Edge NXT required; certification preferred.

  • Proficiency in Microsoft Office preferred.

  • Familiarity with reporting or data visualization tools preferred. (Note: confirm intended tool; “Canva” may not be appropriate.)

  • Effective written and verbal communication skills, with the ability to interact across departments and levels.

  • Ability to maintain confidentiality of sensitive donor information and development records.

  • Strong organizational skills with the ability to prioritize work and adapt to changing demands.

  • Ability to work collaboratively in a team environment.


Minimum Education/Training Requirements:
High school diploma, GED, or equivalent knowledge required. Bachelor’s degree in a related field preferred.

Minimum Experience: Six years of administrative or clerical experience, or two years of experience in a development office with a bachelor’s degree.

Required Licenses, Certification, or Registration: None. Raiser’s Edge NXT certification preferred.

Supervisory Responsibilities/Controls: Reports to director. Supervisor establishes priorities and objectives and is available to assist with problem resolution.

Physical Capabilities: Ability to work at a computer for extended periods of time.

Compensation & Benefits: An estimated compensation range for this position is $28.93 - $36.16 per hour, plus potential overtime. Compensation offered to the selected candidate will be based on the candidate’s relevant knowledge, skills, and work experience, commensurate with compensation of current employees in comparable positions with similar knowledge, skills, and work experience, and subject to budget parameters.
