Job description


Charter One works with schools across the country to provide all-inclusive education management services. At Charter One we pride ourselves on our thorough knowledge of charter school operations, academics, finance, human resources, information technology, marketing, and more. We handle the day-to-day work so that client school boards can focus on governance and policy issues to be sure that the vision and mission of the school are being carried out properly.


Charter One is currently accepting applications for a full-time Human Resources Data & Records Coordinator. Candidates must possess, or be willing to obtain, an Arizona IVP fingerprint clearance card from the Department of Public Safety. The Data & Records Coordinator plays a critical role in overseeing the administrative and data management functions of the Human Resources department. This position is responsible for maintaining the integrity and accuracy of employee records, ensuring that all HR data is properly tracked, organized, and compliant with company policies and regulations. The coordinator manages both paper and electronic records, handles credential verification, and oversees HR systems and platforms used within the department. This role also involves ensuring smooth data entry, conducting audits, and assisting with employee investigations as needed.


Responsibilities include but are not limited to:

  • Oversight of administrative function of HR including data integrity and records
  • Maintaining paper and electronic records of employee paperwork such as verifications of employment, certificate renewal applications, payroll change forms etc.
  • Assist in developing policies and procedures related to tracking of credentials and recordkeeping.
  • Managing information in the HRIS and cloud-based recordkeeping system
  • Conducting periodic audits
  • Assist with handling employee issues and investigations as needed
  • Oversees the verification of credentials and license tracking
  • Manage the different systems/platforms utilized within Human Resources including Square 9, ADP, etc.
  • Assists with reference checks
  • Performs HRIS data entry
  • Other duties as assigned.


Required Skills/Abilities:

  • Strong attention to detail with the ability to maintain data integrity across multiple platforms.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook) and other office productivity tools.
  • Strong organizational and time management skills, with the ability to manage multiple tasks simultaneously.
  • Ability to maintain confidentiality and handle sensitive employee data with discretion.
  • Excellent communication skills, both written and verbal, for interacting with staff and other stakeholders.


Minimum Qualifications:

  • Bachelorโ€™s degree in Human Resources, Business Administration, or a related field
  • Valid AZ IVP Fingerprint Clearance card
  • At least 2-3 years of experience in HR or administrative functions, with a focus on recordkeeping, data entry, or data management


Preferred Qualifications:

  • Experience with specialized HR platforms such as Square 9, or similar cloud-based recordkeeping or payroll systems.
  • Knowledge of HR regulations, such as compliance with labor laws, credential verification requirements, and best practices for data management.
  • Certification in Human Resources (e.g., PHR, SHRM-CP) or a related credential is a plus.
  • Experience with audits of HR data and the ability to recommend improvements or process enhancements.
