Job description

Job Title: Custom Order Entry SpecialistJob Description
The Custom Order Entry Specialist provides end-to-end operational support for custom orders, with a primary focus on collegiate athlete accounts. This role partners closely with sales to create accurate quotes, enter and monitor orders, coordinate artwork approvals, resolve payment or product availability issues, and support customers from initial inquiry through fulfillment and returns. Success in this position requires strong attention to detail, timely and professional communication, and consistent follow-through across customers and internal partners in a fast-paced, high-volume environment.
Responsibilities
  • Partner closely with the Collegiate Athlete Sales representative to provide inside sales and order-entry support for collegiate athlete accounts.
  • Communicate directly with customers regarding orders, quote requests, product questions, payment needs, artwork approvals, and order status.
  • Create accurate quotes and verify inventory availability to support timely and complete fulfillment.
  • Convert approved quotes into orders and process transactions accurately and efficiently.
  • Confirm customer, product, pricing, shipping, and customization details before submitting orders to production.
  • Send artwork approval communications to customers and ensure final artwork, placement, product, and order details are correct before production begins.
  • Monitor orders through fulfillment and coordinate with fulfillment and distribution partners when timing, status, accuracy, or delivery requires attention.
  • Process returns, replacements, credits, and other post-order resolutions in accordance with established policies.
  • Provide additional quote and order-entry support during periods of high volume or team absences.
  • Maintain accurate order documentation, customer communications, and status updates in applicable systems such as CRM, ERP, and order management tools.
  • Escalate risks, exceptions, or recurring issues to appropriate internal partners and help drive timely resolution.
  • Manage repetitive, detail-oriented tasks while maintaining accuracy and consistency over time.
  • Balance multiple priorities, follow through on open items, and respond effectively in a fast-paced, remote work environment.
  • Collaborate with artwork and customization teams, fulfillment and distribution partners, customer service, sales operations, and community teams to ensure smooth end-to-end order processing.

Pay and Benefits
The pay range for this position is $16.00 - $18.00/hr.
Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
