Job description

Front Desk / Data Entry Specialist

Location: Hanscom, MA 01731
Position Type: Full-Time, On-Site
Schedule: 40 hours per week, Monday–Friday. Operating hours are currently 8:00 AM–4:00 PM. Employee may start as early as 7:30 AM but no later than 8:00 AM.

Minimum Qualifications:

  • Minimum 12 months of prior customer service experience.
  • Strong working knowledge of data-entry devices and processes.
  • Strong working knowledge of web-based applications, including Microsoft Edge/Chrome.
  • Proficiency in:
    • Microsoft Windows
    • Microsoft Word
    • Microsoft Excel
    • Microsoft PowerPoint
    • Other Microsoft Office products.
  • Strong professional customer-service and communication skills.
  • Ability to use experience and judgment to plan and accomplish assigned work in a timely manner.
  • Basic understanding of military protocol, military support organizations, and family systems in a military environment is preferred/expected by the PWS.
  • Ability to communicate and work effectively with a diverse population.
  • Must be able to work full-time on-site
  • Must dress in appropriate business casual attire while performing the contract.

Primary Duties:

  • Receive and answer telephone calls.
  • Greet visitors and determine the purpose of their visit.
  • Direct customers to the appropriate Military & Family Readiness Center staff/program manager.
  • Provide clear information regarding routine or procedural matters.
  • Schedule customers for classes and workshops.
  • Perform administrative and clerical duties.
  • Enter and maintain information in facility systems.
  • Enter TAP data and resources into the facility's system.
  • Send class/workshop reminder emails, generally one week before the class start date, unless otherwise directed.
  • Ensure customers properly complete required sign-in procedures.
  • Prepare a monthly client-usage/data-entry report in the Government-established format.
  • Maintain the professional appearance of the front-desk area, including organizing chairs, publications, materials, and resources.
  • Report inoperable equipment to management.
  • Perform minimal front-desk housekeeping such as personal-trash removal, light vacuuming, and dusting when required.
  • Perform data-entry tasks at the required 85% accuracy within two business days.

Security / Base Access Requirements:

  • Must be able to obtain the identification necessary for a Common Access Card (CAC).
  • Must successfully complete required background-check and fingerprinting processes.
  • Must complete required Government access documentation.
  • Must pass the required Information Assurance exam to obtain network access.
  • Must have a favorable security/background determination.
  • Must complete initial and recurring security training required by the sponsoring agency.

Additional Requirements:

  • Must comply with Privacy Act requirements when handling protected information.
  • Must safeguard Government equipment, materials, and property.
  • Personal devices may not be used while providing customer service at the front desk.
  • Government telephone service is for official use only.
  • Air Force-specific systems training will be provided by the Government; Microsoft Office proficiency is expected before starting.
  • Candidate should be able to provide a resume and at least three professional references; personal references are not accepted for the Government qualification submission.
