Bill Leary Air Conditioning & Heating is seeking a detail-oriented, organized, and dependable Data Entry & Administrative Assistant to support our growing office. This position is ideal for someone who enjoys working with numbers, maintaining accurate records, and ensuring administrative tasks are completed efficiently.

The ideal candidate is highly organized, highly proficient in math, and able to manage multiple responsibilities while maintaining accuracy in a fast-paced office environment.

Responsibilities

  • Accurately enter customer, service, inventory, and financial data into company software.
  • Review invoices, work orders, and purchase orders for accuracy.
  • Perform mathematical calculations related to pricing, invoices, job costing, and inventory.
  • Process and reconcile paperwork while identifying discrepancies.
  • Maintain organized digital and paper filing systems.
  • Assist with accounts payable and accounts receivable data entry.
  • Prepare reports, spreadsheets, and other administrative documents.
  • Answer phones and assist customers professionally when needed.
  • Support office staff with scheduling, correspondence, and general administrative duties.
  • Maintain confidentiality of company and customer information.


Qualifications

  • Previous data entry or administrative office experience preferred.
  • Strong mathematical skills with the ability to perform calculations accurately.
  • High level of attention to detail and accuracy.
  • Excellent organizational and time-management skills.

We provide all levels of residential and commercial heating and air conditioning sales, design, engineering, installation, service, repair, and maintenance.

Bill Leary Air Conditioning & Heating is fully insured, bonded, licensed and certified by the State of New Jersey Department of Building and Construction to work on their projects and the New Jersey Economic Development Authority to work on their public schools.

We keep up-to-date with the most current codes, laws, and utility rebate procedures.
