Job Summary:

We are seeking a highly organized and detail-oriented Office & Bookkeeping Assistant to join our team on a part-time basis.  This role includes general office administration, vendor coordination, and basic bookkeeping and data entry in QuickBooks. The ideal candidate is comfortable with numbers, systems, and communicating with both managers and vendors.

Responsibilities:

1.      Office Administration:

  • Organize and maintain physical and digital files, including invoices, receipts, and other business documents
  • Schedule maintenance and service vendors; confirm completion of work and coordinate with managers to approve invoices for payment
  • Assist with general office tasks such as bill payments, answering phones, handling mail, and vendor coordination/procurement
  • Support other administrative tasks and office upkeep as needed

 

2.      Bookkeeping/Data Entry:

  • Record and maintain accurate financial records, including purchases, sales, receipts, and payments
  • Process invoices, assist with statement reconciliation, and verify financial data for accuracy
  • Perform data entry tasks with a high degree of accuracy and attention to detail
  • Prepare and update recurring reports (weekly to monthly) as assigned
  • Support other bookkeeping/data entry tasks as needed


Requirements:

  • Proven experience as an administrative assistant, bookkeeper, or other similar role.
  • Proficiency with Microsoft 365 software (e.g. Excel, Outlook, SharePoint).
  • Strong attention to detail and accuracy in record-keeping and data entry.
  • Excellent organizational and time-management skills; ability to handle multiple tasks and prioritize effectively.
  • Clear, professional written and verbal communication skills.
  • Ability to work independently and as part of a small team.
  • Proficient in using accounting software (e.g., QuickBooks, Xero) is a plus.
  • Relevant certifications (e.g., Certified Bookkeeper) are a plus.
  • Familiarity with restaurant operations or hospitality environments is a plus.
  • Ability to work normal office hours (8:30am-5:00pm) on consistent days of the week (e.g. every Mon, Tue, Wed)
