Job description

Job Title: Data Entry ClerkJob Description

The Data Entry Clerk plays a key role in supporting order processing and customer service activities for a medical device organization focused on biologic products that help the body heal. In this position, you connect with internal teams, move orders efficiently through the workflow, and ensure accurate data entry in core business systems. You contribute directly to meaningful healthcare solutions while gaining hands-on experience in a fast-moving, close-knit environment.

Responsibilities
  • Monitor and manage a shared customer service inbox on a daily basis, responding promptly and professionally to incoming communications.
  • Review incoming customer orders, typically multiple per day, download and organize order documents, and assign appropriate order numbers.
  • Accurately enter detailed order information into the ERP system, ensuring completeness and correctness of all data fields.
  • Retrieve product information and coordinate order fulfillment through the shipping system to ensure timely and accurate delivery.
  • Carefully review, validate, and double-check all order entries before finalizing to maintain high data integrity.
  • Prepare and package orders, including generating, printing, and applying shipping labels in accordance with shipping requirements.
  • Process customer-submitted usage forms, route them to the appropriate billing contacts, and support related billing activities.
  • Collaborate closely with internal teams, including sales, when order transfers or billing adjustments are required.
  • Handle scenarios where customers email usage forms by forwarding them to billing and coordinating shipment back to the customer.
  • Support internal sales representatives by transferring billing information to the correct accounts or locations as needed.
  • Provide general administrative support related to customer service, data entry, and order management.
  • Maintain organized electronic and physical records of orders, forms, and shipping documentation.
Essential Skills
  • Minimum of 1 year of experience in customer service, data entry, or light accounting.
  • Demonstrated ability to work as a proactive, self-motivated contributor with a strong go-getter mindset.
  • Ability to learn new processes and systems quickly and work independently with minimal supervision.
  • Proficiency with Microsoft Office / Microsoft 365 applications, including basic document, spreadsheet, and email tools.
  • Experience in customer service, with the ability to communicate clearly and professionally via email.
  • Data entry skills with strong attention to detail and accuracy.
  • Administrative support experience related to order processing, documentation, or billing support.
Additional Skills & Qualifications
  • Experience with QAD or any large ERP system is preferred but not required.
  • Interest in working within a healthcare or medical device environment focused on patient impact.
  • Willingness to grow within the organization and take on additional responsibilities over time.
Work Environment

This is a fully onsite role, Monday through Friday, in a small, close-knit team environment. The standard schedule is 8:00 a.m. to 5:00 p.m. with a one-hour lunch break. You work in an office setting that supports exposure to cutting-edge medical technology and biologic products, with regular use of computers, ERP systems, and shipping tools. The position is structured as a contract through the end of the year, with a strong possibility of transitioning to a permanent role. Team members collaborate closely, gain hands-on experience, and contribute to meaningful, patient-impact work, with opportunities for growth within the company.

Pay and Benefits

The pay range for this position is $20.00 - $22.00/hr.
