Summary:

The Data Entry Operator supports the Bureau of Trust Funds Administration's Office of Trust Records by performing essential data entry, metadata validation, records processing, and quality control tasks associated with the digitization of Indian Trust Records. This role is central to ensuring the accuracy, consistency, and completeness of digital records housed at the American Indian Records Repository (AIRR) and the Digital Center of Excellence (DCE). The incumbent works with physical and electronic records, follows established Standard Operating Procedures (SOPs), and contributes to the integrity of records required for research, litigation, and trust management activities.

Responsibilities

Essential Job Functions:

  • Enter, update, and correct metadata and coding in databases to support the digitization and management of Indian Trust Records.
  • Review digitized documents to identify errors, missing information, or quality issues, and perform required corrections in accordance with SOPs.
  • Extract information from physical and electronic documents to accurately complete metadata fields and coding requirements.
  • Conduct data validation activities, ensuring consistency, accuracy, and compliance with standardized formats.
  • Assist with document preparation by removing staples, paperclips, tape, sticky notes, binders, and similar materials to prepare documents for scanning.
  • Insert barcodes and identifiers on documents, folders, and boxes according to established procedures.
  • Support reassembly activities including box movement, shelving, and the use of barcode scanners, carts, and pallet jacks as required.
  • Utilize various digitization equipment to scan documents into electronic format; ensure digital images meet quality and clarity standards.
  • Perform other duties as needed.

Qualifications

Necessary Skills and Knowledge:

  • Ability to perform repetitive tasks with a high level of accuracy and attention to detail.
  • Familiarity with scanning equipment, databases, or document management systems preferred.
  • Ability to follow detailed written procedures and maintain consistency in standardized workflows.
  • Capability to lift and move boxes up to 50 lbs. and work in warehouse-style environments.
  • Strong organizational skills and ability to manage time effectively in a production-based setting.

Minimum Qualifications:

  • Minimum 1-2 years of related experience.
  • Experience with data entry, records processing, or similar detail-oriented work environments.
  • Ability to pass an federal background check.

Preferred Qualifications:

  • Bachelor's degree in Business Administration or related field.
  • Experience in digitization, records management, archival work, or federal document processing.
