Job description

What the role is about:The HRIS Analyst is responsible for the administration, configuration, maintenance, and optimization of WinSport’s Human Resource Information System (HRIS), currently UKG Pro, along with related modules. This role ensures the integrity and accuracy of all HR data, develops and maintains system configurations, and delivers reporting and analytics to support informed HR and business decision-making. The position requires strong technical expertise, analytical skills, and the ability to collaborate effectively with the Team & Culture, Payroll, and operational leadership teams. In addition, the HRIS Analyst will provide back-up support for payroll and benefits processing during the absence of the Payroll Coordinator, ensuring seamless continuity of these critical functions.This role also leads the development and ongoing maintenance of WinSport’s record management process. This includes overseeing the secure archiving and destruction of confidential files in accordance with retention requirements and ensuring all essential HR documents are stored in the appropriate drives and file structures for easy and efficient access by authorized team members.What you will be doing: 

System Administration & Configuration 

  • Administer and configure HRIS modules, including but not limited to Core HR, Workforce Planning PRO (time & attendance), Payroll, Talent Management, LND and Employee Voice.
  • Maintain security roles, user access, workflows, and system settings.
  • Monitor system performance and troubleshoot issues in collaboration with internal users, WinSport IT and the HRIS vendor (UKG).
  • Implement system upgrades, patches, and new functionality in line with business needs and vendor requirements.

Data Integrity & Reporting

  • Maintain the accuracy and integrity of HRIS data through regular audits and validations.
  • Develop, generate, and maintain standard and ad-hoc reports to support T & C initiatives and business operations.
  • Provide analytics, dashboards, and data visualizations to inform workforce planning, compliance, and strategic initiatives.
  • Work closely with Payroll to ensure accurate employee data for payroll processing and reporting.

Process Improvement & Support 

  • Identify opportunities to streamline HRIS processes and improve system utilization.
  • Collaborate with HR team members and operational leaders to gather requirements, recommend solutions, and implement enhancements.
  • Provide end-user support and troubleshooting for HRIS-related inquiries.
  • Develop, and maintain system documentation, guidelines, and training materials.

Payroll & Benefits BackUp Support 

  • Serve as backup for payroll and benefits processing during the absence of the Payroll Coordinator.
  • Ensure accurate payroll data entry, validation, and processing in compliance with legislative and organizational requirements.
  • Assist with benefit enrollments, changes, and terminations as needed.

Records Management 

  • Develop, implement, and maintain WinSport’s records management process in compliance with retention schedules.
  • Oversee secure archiving and authorized destruction of confidential HR files.
  • Ensure essential HR documents are stored in the appropriate drives and file structures for easy, authorized access.

Training & Communication 

  • Deliver training sessions and resources to T&C, Payroll, and operational leaders on system functionality and best practices.
  • Communicate changes, updates, and tips to ensure optimal system understanding and use.
What you bring:     

Qualifications and Experience 

  • Diploma or degree in Human Resources, Information Systems, Business Administration, or related field.
  • Minimum 5-7 years of experience in HRIS administration, preferably with UKG Pro, Kronos or similar systems.
  • Experience with HR data analysis, reporting, and dashboard creation.
  • Knowledge of HR processes and Alberta employment legislation.
  • Strong proficiency in HRIS configuration, security, and reporting tools.
  • Advanced Excel skills (pivot tables, formulas, data visualization).
  • Familiarity with business intelligence or reporting platforms an asset.
