Overview
Summary/ Objective
The position of Document Control Clerk is responsible for the orderly recording and keeping of physical and electronic documents associated with assigned project. This position will conduct all Company business in accordance with Company policies and procedures and maintain professionalism throughout all business dealings, both internally and externally.
Responsibilities
Essential Functions

  1. Coordinate with all departments of the Company in order to assure that all documents are kept in right place and in the right department file archive.
  2. Ensure that all corporate documents are well checked and submitted on time prior to the document's submission due date.
  3. Perform regular audits on corporate documents in order to ensure that all documents are properly submitted to other documents.
  4. Responsible for file validation and document controlling.
  5. Ensure all documents are checked and approved before submission.
  6. Perform evaluations and document audits.
  7. Effectively follow the company's standard operating procedures in submission of documents.
  8. Submit corporate documents punctually and with quality.
  9. Ensure all documents have no errors in file names, submissions, etc. before submitting.
  10. Prepare all documents and communications with other departments in order to make submissions early.
  11. Maintain poise and focus under time constraint and adverse conditions.
  12. Attend and complete trainings as required by the Company.
  13. Pass all required drug/alcohol testing and background checks as required.
  14. Perform other related duties as assigned.

Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment. May be required to operate in a petrochemical/ refinery environment with exposure to cold working conditions during winter months and hot working conditions during the summer months; exposure to noise, workers must wear protecting hearing equipment or frequently shout in order to be heard above ambient noise level. In an emergency situation, exposure to hazardous chemicals may occur and the use of a respirator is required. May be required to be fit tested for the various respirators used as well as the ability to successfully pass a pulmonary function test (PFT).

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
While performing the duties of the job, a Document Control Clerk is occasionally required to bend, stoop, walk, climb, squat, reach, kneel, push/pull, stand, sit and lift up to 20 pounds.
Position Type/ Expected Hours of Work
This is a project- based position. Typical days and hours of work are variable/ project dependent. Over-time work is common and may be required as job duties demand.
Travel
Travel is expected. Extensive travel throughout U.S. and overnight stay for extended periods of time.
