Location: Toronto, ON (Hybrid)
Employment Type: 1 year contract


Pay: 23/hr

Position Overview:

Our client, a well-established not-for-profit organization, is looking for a Donor Database Coordinator to join their team. In this role, you'll be responsible for maintaining the integrity of the donor CRM database, ensuring donor information is accurate, up-to-date, and accessible to support fundraising campaigns and donor engagement.

What you will be doing?

  • Maintain and update donor records within the organization's CRM database, ensuring accuracy and completeness.
  • Import donor, fundraising, and third-party data into the CRM while validating data quality.
  • Perform ongoing data entry, data cleansing, deduplication, and database maintenance activities.
  • Reconcile donor records with financial and fundraising systems, identifying and resolving discrepancies.
  • Process data imports from online fundraising platforms, direct mail campaigns, and external vendors.
  • Execute mass data updates, record merges, and global data changes within the CRM.
  • Generate validation and reconciliation reports to ensure data accuracy and integrity.
  • Support fundraising campaigns by configuring donor records, campaign data, and CRM fields.
  • Troubleshoot data import issues and resolve exceptions in a timely manner.
  • Maintain documentation for database procedures, data imports, and operational workflows.
  • Respond to internal data requests and collaborate with fundraising, finance, and operations teams to support reporting and donor stewardship.
  • Proactively identify opportunities to improve data quality, database processes, and operational efficiencies.


Must haves:

  • 3+ years of experience in donor database administration, CRM coordination, data management, or database support.
  • Experience working with fundraising CRM systems such as Raiser's Edge, Blackbaud CRM, Donor Perfect, Salesforce NPSP, or similar donor management platforms is highly preferred.
  • Strong experience with high-volume data entry, data imports and exports, data cleaning and validation.
  • Advanced proficiency in Microsoft Office 365, particularly Excel (sorting, filtering, formulas, data validation), Outlook, Word, SharePoint, and Teams.
