Job description

Interested in a rewarding job and a supportive culture and being part of an organization that rates the highest in the state for consumer satisfaction? Seacoast Mental Health Center, Inc. has an opening for a Program Assistant. This is an in-office position.
Minimum Education/Experience Requirements:

  • High school diploma or equivalent required.
  • Minimum of two years of relevant administrative experience.
  • Strong data entry accuracy and organizational skills required.
  • Knowledge of Microsoft Excel required.

Tasks:
1. Provide general administrative support and Quality Assurance oversight to clinical teams.
2. Assist clinical staff with maintaining patient information in the electronic health record (EHR), including but not limited to program admission and discharge, eligibility, treatment team configuration, diagnoses, and other required documentation.
3. Assist with EHR troubleshooting and problem resolution.
4. Report recurring issues to the Clinical Supervisor and Quality Improvement (QI) VP for review and follow-up.
5. Attend designated clinical team meetings; document announcements and discussions led by the clinical manager; distribute meeting minutes; and attend additional meetings as requested.
6. Collect clinician productivity logs and calculate total hours for monthly reporting.
7. Assist department heads and/or team managers with data collection and special projects for state or agency purposes.
8. Print and/or obtain group therapy materials and ensure they are mailed to patients in a timely manner.
9. Crosstrain in all program assistant support functions and provide coverage as needed.
10. Performs other related duties consistent with employee's training and experience as assigned.
