Position Summary

Comprehensive Home Health Solutions is seeking a professional, highly organized, and proactive Receptionist & Referral Intake Coordinator to support our growing home health and home care operations. This position has responsibility and authority for the administrative management of the office under the direction of the Administrator. The role is critical to ensuring efficient referral processing, regulatory compliance, and smooth daily office operations.
Administrative Leadership Responsibilities
  • Manage front office reception and maintain a professional environment
  • Order and maintain inventory of office supplies, clinical forms, and administrative materials.
  • Coordinate office cleaning services.
  • Manage biohazard waste pickups in compliance with regulations.
  • Coordinate shredding services for secure document destruction.
  • Manage all postal needs including postage, certified mail, mailings, and package pickups.
  • Maintain direct responsibility for management of the answering service contract, including oversight and performance monitoring.
Home Health Referral Intake Responsibilities
  • Receive and process referrals from hospitals, physicians, skilled nursing facilities, assisted living communities, and case managers.
  • Verify patient demographics, insurance eligibility, and physician orders.
  • Enter referral data accurately and timely into the EMR system.
  • Coordinate with clinical leadership for review, acceptance, and scheduling of referrals.
  • Schedule Start of Care visits in collaboration with nursing staff.
  • Track referral sources and maintain detailed intake logs.
  • Follow up on missing documentation and physician signatures.
  • Ensure timely communication of referral status to referral partners.
Compliance & Documentation

  • Ensure all intake documentation meets Medicare Conditions of Participation and regulatory standards.
  • Maintain knowledge of payer guidelines and authorization requirements.
  • Support audit readiness and accurate record-keeping.
  • Maintain HIPAA compliance at all times.
Qualifications

  • Minimum 12 years experience in home health or healthcare intake required.
  • Knowledge of Medicare regulations and insurance verification processes preferred.
  • Experience managing administrative office operations strongly preferred.
  • Familiarity with EMR systems (e.g., WellSky/Kinnser, Homecare Homebase, etc.).
  • Strong organizational, multitasking, and problem-solving skills.
  • Professional communication skills and ability to manage vendor relationships.
