Job Title: Data Entry Eligibility CoordinatorJob Description
The Data Entry Eligibility Coordinator is responsible for client intake and eligibility determination for assistance programs, with a primary focus on processing utility assistance applications received by mail and in person. This role involves accurately entering client information into multiple systems, reviewing supporting documentation, and ensuring applications are processed efficiently and in accordance with program guidelines while delivering a professional and supportive customer experience.
Responsibilities
  • Process utility assistance mail-in applications and walk-in applications in a timely and accurate manner.
  • Use a dual-monitor setup to enter scanned application information into two separate databases, including one state database and one internal database.
  • Review application documents such as biographical information, personally identifiable information, income verification, pay stubs, utility bills, and household data to determine eligibility and enrollment.
  • Complete internal documentation to confirm application entry and ensure all records are saved correctly to the client's electronic file.
  • Contact clients by phone to clarify missing, incomplete, or unclear information on their applications.
  • Prepare and mail final notifications to clients regarding eligibility decisions and program status.
  • Collaborate with internal departments, programs, and services to ensure client needs are understood and met.
  • Participate in staff meetings and provide insight, feedback, and suggestions to improve processes and client service.
  • Maintain accurate, confidential records and follow all data privacy and security procedures.
  • Consistently meet productivity and quality standards for data entry and application processing.
Essential Skills
  • Prior computer and data entry experience, particularly using a desktop computer.
  • Ability to work efficiently with a dual-monitor setup.
  • Strong typing skills with a minimum speed of 30 words per minute.
  • Good job tenure, with at least 6 months in each previous role.
  • Proficiency with Microsoft Office applications.
  • Attention to detail and accuracy when entering and reviewing client data.
  • Ability to communicate clearly and professionally with clients over the phone.
  • High school diploma, GED, or equivalent education.
Additional Skills & Qualifications
  • Post-secondary education is a plus.
  • Experience using MS Teams for communication and collaboration.
  • Previous experience working with dual monitors in an office environment.

Work Environment
This position is based in an office environment with standard hours of Monday through Friday, 8:00 a.m. to 5:00 p.m., with limited overtime expected. The role uses desktop computers with dual monitors and common office software, including Microsoft Office and MS Teams. Team members work in a small, close-knit office setting that emphasizes collaboration and a supportive, "family" atmosphere. There is potential for strong performers to be considered for extension or conversion, based on performance and organizational needs. An unpaid one-hour lunch break is provided each day. The dress code is business casual, with jeans permitted on Fridays; yoga pants, shorts, and sweatpants are not acceptable attire.

Pay and Benefits
The pay range for this position is $16.50 - $16.50/hr.
