Job Description

The Warranty Customer Service Representative is responsible for the accurate and efficient processing of customer orders for materials and merchandise for the Warranty Department. This role involves receiving and entering orders, tracking their progress, and notifying customers of any changes in delivery schedules. The representative maintains detailed records of pricing, inventory levels, delivery dates, and other transaction-related data using specialized software or tracking systems. In addition to addressing non-technical customer inquiries via phone or email, the role supports effective communication and issue resolution. The representative also collaborates with internal departments to ensure customer satisfaction and updates customer relationship databases as needed. 


Responsibilities

  • Receive and verify orders, ensuring availability and stock using accounting software.
  • Monitor customer credit terms and provide updates on order status, delivery dates, and freight charges.
  • Input orders accurately into accounting software and maintain effective communication with warehouse staff.
  • Offer freight quotations and generate Bill of Lading documents for outgoing shipments.
  • Process freight claims for damaged units.
  • Create sales orders and invoices using accounting software.
  • Issue credit memos for returned products and maintain accurate records.
  • Establish and maintain a systematic filing system for inventory and customer records.
  • Ensure electronic filing and cloud storage of documents.
  • Interact professionally with customers via phone and email, providing accurate information and addressing concerns.
  • Receive purchase orders and handle messages promptly and courteously.
  • Provide real-time inventory updates upon request.
  • Collaborate with Warranty Service Director and warehouse personnel to maintain accurate inventory records.
  • Perform additional duties as assigned by the hiring manager.

  • At least 2 years of relevant experience in customer service, logistics, billing, or a related area.
