Job Overview
Madison Approach Staffing is recruiting for a Deputy Project Manager I to support project management operations for our client, a manufacturing company serving the rail industry. This role works closely with the Project Manager and Deputy Project Manager II to manage day-to-day project activities, coordinate with customers and vendors, track project deliverables, and ensure contract compliance. The ideal candidate has 5+ years of project management, engineering, or project administration experience, a Bachelor's degree in Mechanical/Systems/Electrical Engineering, and knowledge of the rail industry or related manufacturing sectors.

Key Responsibilities
  • Provide tactical support to Project Manager and Deputy Project Manager II on project management activities
  • Supervise and manage Project Coordinator daily activities
  • Manage vendor relationships during production, delivery, and warranty stages
  • Manage project correspondence including letters, meeting minutes, and memos
  • Develop and maintain databases for project deliverables, action items, and tracking metrics
  • Monitor and report schedule status, milestone progress, and project activities
  • Manage project deliverable closure processes
  • Address and resolve critical issues related to cost, schedule, and technical risk through action planning
  • Ensure understanding and compliance with contract and subcontract requirements
  • Attend and conduct project meetings at customer sites, subcontractor facilities, and company locations domestically and internationally
  • Plan and execute contract financial milestone achievement activities
  • Negotiate with suppliers up to approval stage for company-managed work
  • Interface with customers during design reviews and reliability meetings; manage scope and claim extra work per contract
  • Support Project Execution Team (PET) and Project Cost Management Group (PCMG) meetings
  • Coordinate with internal departments, customers, vendors, and company affiliates
  • Prepare reports and documentation for Project Manager and customer submittal
Required Skills & Experience
  • Experience: Minimum 5 years in project management, project engineering, or project administration
  • Education: Bachelor's degree in Mechanical Engineering, Systems Engineering, or Electrical Engineering required
  • Industry Knowledge: Knowledge and experience in rail industry or closely related manufacturing sector
  • Technical Background: Mechanical, Systems, or Electrical design experience preferred
  • Project Management: Skilled in meeting management, coordination, and contract management
  • Communication: Excellent verbal and written communication skills
  • Interpersonal Skills: Strong ability to work across departments, with customers, vendors, and external partners
