Overflow Kids Coordinator
Location: Overflow Church
Department / Ministry: Overflow Kids
Reports To: Family Life Pastor
Employment Type: Part-Time (15-17hours/week) $17 an hour


Role Summary
The Overflow Kids Coordinator supports the overall mission and weekly operations of Overflow
Kids by helping create a safe, organized, and engaging environment for children and families.
This role exists to provide organizational excellence and ensure consistent preparedness for
Kids Ministry programming, creating ease, clarity, and confidence for volunteer teams.
Working closely with the Family Life Pastor, this position helps ensure classrooms are fully
prepared, staffed, and ready for effective ministry each Sunday. Responsibilities include
volunteer coordination and development, classroom preparation, communication, administrative
support, curriculum management, ministry planning, and assistance with ministry events.
Through behind-the-scenes preparation and operational support, this role directly contributes to
creating safe, welcoming, and gospel-centered environments where children can experience
God's love.


The ideal candidate is dependable, organized, relational, and team-oriented, with a heart for
serving children and supporting families. Strong communication skills, attention to detail, and
the ability to work collaboratively in a fast-paced ministry environment are essential.


Key Responsibilities
Curriculum & Classroom Preparation
Oversee kids curriculum preparation, including printing, distributing to classrooms, and
working with volunteers to assemble and prepare curriculum materials.
Update, organize, and maintain classrooms between Sunday services.
Order, track, and replenish supplies, snacks, and ministry materials.
Update and prepare weekly video lessons and classroom technology (flash drives, Apple
TVs, and other media resources) to ensure all content is ready for Sunday.
Keep Overflow Kids up to date with Amazing Life curriculum processes and functions.
Help organize ministry resources, supplies, and classroom materials.


Volunteer Support & Development

Schedule volunteers to ensure classrooms are fully staffed each Sunday.
Support volunteer recruitment, communication, onboarding, training, and coordination.
Maintain volunteer compliance in accordance with church policies and safety standards.
Maintain volunteer records and assist with background check processes.
Help ensure volunteers are informed, prepared, and supported for ministry opportunities.
Support volunteer appreciation, encouragement, and relationship building.


Planning & Administration
Meet regularly with the Family Life Pastor to plan and prepare for upcoming events and
ministry needs.
Assist with weekly, monthly, and seasonal ministry planning.
Track attendance and maintain ministry records and databases.
Support calendar management and event preparation.
Assist in developing and maintaining efficient ministry systems and processes.
Assist with family communication, ministry administration, and check-in processes as
needed.
Attend yearly staff retreat (2-3 days) and once a year "One Day" all day planning
meeting


Family Communication
Assist with weekly communication to parents and volunteers regarding curriculum,
events, and ministry updates.
Welcome and connect with new families and help them become engaged in the ministry.
Respond to ministry inquiries in a timely and professional manner.


Sunday Ministry Support
Assist with Sunday morning operations, including classroom readiness, volunteer
support, and family engagement.
Float classrooms and support teachers as needed.
Help identify classroom needs and communicate opportunities for improvement.
Support ministry leaders in creating a safe, organized, and engaging environment for
children and families.


Events & Special Programming
Assist in the planning, organization, and execution of ministry events, family
experiences, volunteer gatherings, and special programs.
Support event logistics, registration, communication, setup, and follow-up.
Co-Lead the running of VBS (July 27-30).
Help coordinate and support children's ministry events and special programs throughout
the year.
Run a monthly Preteen event (4th-5th grade) that furthers the discipleship of preteen
students in partnership with the Family Life Pastor.

Previous administrative or ministry support experience is preferred.
Familiarity with Google Workspace (Docs, Sheets, Drive, etc.) preferred.

Time Commitment / Schedule
Working hours will generally be Sunday through Thursday with a flexible schedule.
Inflexible hours are Monday Staff Meetings at 10am and Sundays from 7am-1:30pm
Many responsibilities will require being in person with the Family Life Pastor, while some tasks
can be completed from home or on an independent schedule.
Sunday responsibilities are required to support teachers, float classrooms, and assist with
overall ministry operations.


Who We Are

Overflow Church is a church of 400-500, multiethnic, multigenerational church in Southwest
Michigan that has experienced consistent growth coming out of COVID with regular attendance
of over 100 kids. During the pandemic Overflow experienced a year-long pastoral transition, and
weekly attendance averaged around 100 people. In that season, the church faithfully endured
leadership transition and uncertainty.


In 2021, Overflow Church hired Pastor Elijah Shamenda, and since that time the church has
experienced year-over-year growth, renewed clarity of mission, and increasing health across
attendance, leadership, and generosity.


Overflow is led by a committed Elder team, pastoral staff, and ministry leaders who believe we
are called to be more than a local congregation-we believe we are called to be a regional
church. Our vision is to plant five campuses over the next ten years, and we are actively
pursuing the launch of our first campus in Kalamazoo.


We are passionate about reaching the neighbor and the stranger, those both near and far from
God, and we are looking for a Kids Ministry leader who wants to be part of a big, faith-filled
