Job description

JOB SUMMARY:Β  Responsible for maintaining the integrity of the physical asset and maximizing the returns from the asset in accordance with the Company's mission, vision, and objectives.Β  Responsible for training and development of all personnel assigned, either directly or through others.Β  Supervises all on-site personnel at properties assigned.Β  Maintains relationships with peers and all other departments within the company.Β  Maintains relationships with suppliers, vendors, and others serving the Company or the property. Reports to Director of Property Management or Principal.Β 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following but are not limited to the job specifications contained herein.Β  Additional duties or job functions may be required as deemed necessary by supervisory personnel.

Maintaining the physical asset

  • Supervises employees and contractors.
  • Assures adherence to specifications (contractual; operations manual).
  • Conducts formal site inspections of building interior and exterior.
  • Makes recommendations for physical repairs and/or replacements.
  • Ensures observance of safety regulations.

Marketing and leasing

  • Supervises leasing personnel.
  • Regularly evaluates market conditions and property comparables.
  • Implements marketing plan.
  • Periodically reviews rental applications and lease forms for accuracy and compliance with established policies and procedures.

  • Supervises rent collection in accordance with policies and procedures manual.
  • Approves and monitors rental rate recommendations for new leases and renewals based on current market information.

Financial reporting and control

  • Reviews and helps develop annual property management plan and operating budget.
  • Reviews all monthly financial reports.
  • Approves payments (payroll, invoices).
  • Approves expenditures in accordance with Company policy and procedures.

Administration

  • Handles employee selection, training, and control, and assures that all supervised employees comply with the appropriate policies and procedures.
  • Interfaces with outside professionals regarding legal, accounting, insurance, tax, and other matters, as appropriate.
  • Ensures property files and records are maintained.
  • Continually improves management and technical skills.
  • Spends agreed-upon percentage of time on obtaining market knowledge, community relations, and asset evaluation.

SUPERVISORY RESPONSIBILITIES:Β  This position oversees the staff at multiple communities.Β  Staff consists of Assistant Portfolio Managers, Property Managers, Assistant Property Managers, Leasing Agents, Maintenance Supervisors, Maintenance Techs, and additional staff as needed.Β  Carries out supervisory responsibilities in accordance with QRES policies and applicable laws.Β Β Responsibilities include interviewing, hiring and training employees; planning, assigning and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

EDUCATION AND/OR EXPERIENCE:Β 

  • High school diploma or general education degree (GED)
  • Bachelor’s degree or work-related experience equivalent
  • 5 years’ relevant multifamily housing experience
  • 5 years’ experience managing staff
  • 5 years’ experience in customer service
  • 3 year of experience with tax credit (if applicable to portfolio)
  • Experience managing multiple properties preferred

OFFICE EXPERIENCE:Β  Proficient in MS office, particularly email, (both the desktop version and web based), word, and excel; Knowledge of office management systems and procedures, excellent time management skills, ability to multi-task, and prioritize work.Β  Attention to details and problem-solving skills.

LANGUAGE SKILLS:Β  Ability to read and interpret documents such as emails, utility billings, financial documents, instructional documents, rental agreements, and procedure manuals.

MATHEMATICAL SKILLS:Β  Ability to add and subtract numbers and to multiply and divide with 10’s and 100’s.Β  Ability to perform these operations using units of American money and weight measurement, volume, and distance.

REASONING ABILITY:Β  ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.Β  Ability to deal with problems involving a few concrete variables in standardized situations.

CERTIFICATES, LICENSES, REGISTRATIONS:Β Β Industry relatedΒ certification is highly recommended for this position. (i.e. Accredited Residential Manager (ARM) or Certified Property Manager (CPM))
