Job description

POSITION SUMMARY:
The Creative Operations Coordinator supports the Brand and Creative teams by helping organize, track, and coordinate projects across campaigns, special events, and brand initiatives. This role ensures work flows smoothly by managing timelines, documenting meetings, coordinating communication between teams, and supporting logistics for creative and experiential projects. The position is highly detail-oriented and plays a key role in keeping projects on schedule and stakeholders aligned.
ESSENTIAL FUNCTIONS:
  • Track and update project timelines, deliverables, and approval workflows for creative campaigns and brand initiatives

  • Coordinate communication between creative, marketing, merchandising, and events teams

  • Schedule meetings, prepare agendas, and capture detailed meeting notes and action items

  • Maintain project management systems and ensure status updates are accurate and current

  • Support logistics for brand events, activations, and internal/external campaigns

  • Assist with vendor coordination, follow-ups, and basic administrative project needs

  • Monitor project progress and flag risks, delays, or dependencies to stakeholders

  • Help ensure deadlines are met and project priorities are clearly communicated

  • ALL OTHER DUTIES AS ASSIGNED

EXPERIENCE/QUALIFICATIONS:
  • Minimum Degree Required: Bachelor's Degree

  • Preferred Degree: Bachelor's Degree in Marketing, Communications, Business, Project Management or related field

  • Proficient in Microsoft suite (PowerPoint, Excel, Word)

  • Years of experience: 0-2 in project coordination, marketing support, events, or administrative roles

KNOWLEDGE, SKILLS, AND ABILITY:
  • Strong written and verbal communication skills

  • Ability to manage multiple projects and priorities in a fast-paced environment

  • High attention to detail and follow-through on tasks and deadlines

  • Comfortable working cross-functionally with creative, marketing, and operations teams

  • Basic understanding of marketing and creative workflows (campaigns, approvals, production timelines)

  • Strong notetaking and documentation skills

  • Problem-solving mindset with the ability to anticipate needs and gaps

  • Professional, collaborative, and proactive communication style

TRAVEL REQUIREMENTS:
  • Occasional travel may be required (10-20%) depending on event schedules and project needs

  • Travel may include supporting brand activations, retail events, store openings, or on site project coordination

  • Some evening or weekend availability may be required during major events or launches.

PHYSICAL REQUIREMENTS:
Regularly completes computer work, walks, and sits.
Occssionally stands.
Seldomly or never lifts up to 50lbs.
INDEPENDENT JUDGEMENT:
Performs tasks and duties under general supervision, using established procedures and innovation. Chooses from limited alternatives to resolve problems. Occasional independent judgment is required to complete work assignments. Often makes recommendations to work procedures, policies, and practices.
