Job Description

Summary

We're looking for a driven, detail-obsessed Creative Team Project Manager to be the operational backbone of our in-house creative department. You'll work side-by-side with our Creative Director, design team, and cross-functional stakeholders to ensure every project - from trade show booths to social media campaigns - moves forward with clarity and momentum.

This is not a background role. You'll be the connective tissue between creative vision and flawless execution, keeping timelines tight, communication clear, and nothing falling through the cracks.

Position Responsibilities

  • End-to-end project management across all creative workstreams: marketing collateral, trade show materials, software UI/UX, experiential design, social media, and branded swag.
  • Monday.com as your command center - building and maintaining boards, automations, timelines, and dashboards that give full visibility to stakeholders.
  • Intake and brief management - fielding new requests, clarifying scope, gathering assets, and ensuring the team has everything they need before work begins.
  • Cross-functional coordination with Marketing, Product, Communications, and Leadership teams to align on priorities, deadlines, and deliverables.
  • Proactive identification of blockers, timeline risks, and resource conflicts - before they become problems.
  • Meeting facilitation, including creative kick-offs, status check-ins, and retrospectives with clear action items and follow-through.
  • Asset and file organization - maintaining a clean, accessible, and version-controlled library of creative files.

Basic Qualifications (Required Skills & Experience)

Experience: 3-5 years of project management experience

  • In a creative agency, in-house brand team, or marketing environment. A background working alongside designers is a strong plus.

Tools: Monday.com power-user skills

  • You know your way around boards, automations, Gantt views, and reporting dashboards. Proficiency in the full MS Office suite is required. Comfortable navigating Figma to review designs, leave comments, and track revisions (you don't need to design, but you need to speak the language).

Organization: Exceptional organizational instincts

  • You can juggle 10+ concurrent projects without losing your grip on a single one. You build systems, not workarounds.

Communication: Crystal-clear communication

  • Written and verbal. You can translate creative concepts to business stakeholders and business requirements back to the creative team without anything getting lost.

Proactiveness: A proactive mindset

  • You don't wait to be asked. You anticipate what's needed, surface issues early, and move with urgency when it counts.

Other Qualifications & Desired Competencies

  • Familiarity with print production and vendor management
  • Experience with Asana, Notion, or other project management platforms
  • A basic understanding of design principles, brand guidelines, and creative workflows
  • PMP, CAPM, or other project management certification
  • Experience producing video or photo shoots

Physical Demands

  • Able to work in an office environment (Constant)
  • Able to carry and move various production equipment and video/photography gear up to 25 lbs. (Occasional)
  • Required to, stand, sit; talk, hear, and use hands and fingers to operate a computer and telephone keyboard (Frequent)

Special Requirements:

  • U.S. Citizen, U.S. Permanent Resident (Green Card holder) orasylee/refugee status as defined by 8 U.S.C. 1324b(a)(3) required.
  • Ability to travel to demonstrations, events, trade shows, and other activations (up to 15%)
  • Flexible work schedule and overtime may be required periodically
  • Preferably located within 50 miles of the Moorpark/Simi Valley offices
