Job description

The Marketing Project Manager is responsible for driving end-to-end execution of marketing and creative work by enforcing strong intake standards, translating requests into clear plans, coordinating cross-functional teams, and ensuring on-time delivery. This role serves as the operational system of accountability for the work pipeline, bringing structure, visibility, and consistency to how projects are initiated, prioritized, produced, reviewed, approved, and closed.
Twin Cities Orthopedics is an operating division of Infinite Health Collaborative (i-Health), a group of local medical practices, owned and led by its physicians, on a mission to give patients more control over their healthcare.
This role partners closely with internal business partners, creative and digital teams, and external partners to keep work moving efficiently across multiple projects, priorities, and platforms. The Marketing Project Manager will work within monday.com as the team's workflow and other internal tools. The ideal candidate is highly organized, detail-oriented, adaptable, and energized by a fast-paced environment, with the openness and resilience to support evolving ways of working and ongoing transformation.
This is a full-time hybrid position working Monday-Friday 8:00am-5:00pm.
This position is a contractor role and will be starting at FT with the potential to move to PT/reduced schedule after 6 weeks. The term of this contractor is estimated at 3 months. At that time we will determine what FTE is needed for a permanent role. There is an opportunity of this position being contract to hire.
Essential Job Functions:
Project Planning and Execution Management
  • Enforce a consistent intake standard, including required inputs, objectives, constraints, timelines, budgets, and success metrics.
  • Ensure requests are ready for execution before production begins; return submitted briefs for clarification when needed.
  • Build clear project plans with tasks, owners, dependencies, milestones, and due dates.
  • Maintain a consistent master project-to-workstream-to-task structure to prevent fragmentation and duplicate tracking.
  • Manage cross-functional and external partner handoffs, surfacing risks, blockers, scope changes, and tradeoffs early.

Workflow Governance and Tool Ownership
  • Own day-to-day accuracy of the project management system, ensuring status, owners, budgets, hours, and due dates are current.
  • Maintain and improve templates, workflows, automations, dashboards, and reporting structures aligned to work types.
  • Provide clear portfolio visibility into work in flight, aging work, upcoming deadlines, and team capacity constraints.
  • Support adoption and process consistency across project workflows and operating processes.

Review and Approval Coordination
  • Coordinate review cycles to ensure the right reviewers are engaged, timelines are timeboxed, and feedback is consolidated and actionable.
  • Manage approvals in FileStage or similar tools, ensuring version control, documented final approvals, and efficient progression through review stages.

Prioritization, Budget Tracking, and Stakeholder Communication
  • Run or support weekly portfolio review and prioritization meetings, including agenda development, decision tracking, and follow-up actions.
  • Proactively communicate status, priorities, and timeline impacts to stakeholders, escalating when scope, budgets, or deadlines are at risk.
  • Track project hours and budgets for both internal and external work, monitor spend against plan, and flag issues requiring intervention.

Performance Reporting and Continuous Improvement
  • Track and report key metrics such as cycle time, throughput, aging work, rework drivers, review turnaround, and budget performance.
  • Identify bottlenecks and lead process improvements to reduce cycle time, improve quality, and minimize rework.
  • Provide post-project recaps or debriefs, when applicable, to capture learnings, improve future planning, and strengthen team performance.

Knowledge, Skills, and Abilities
  • Proven ability to manage multiple concurrent projects and enforce intake rigor, prioritization discipline, and stage-gate processes.
  • Strong understanding of how creative and marketing work is produced, including realistic timelines, scope, dependencies, deliverables, and review cycles.
  • Demonstrated ability to collaborate effectively with internal business partners, creative teams, digital teams, and external partners.
  • Clear and confident communicator with the ability to translate needs between creative and non-creative stakeholders.
  • Strong organization, communication, and time-management skills, including the ability to manage multiple projects under tight deadlines.
  • Hands-on experience with work management tools such as monday.com, Asana, Smartsheet, Jira, Workfront, or similar platforms is preferred.
  • Familiarity with review and approval tools, workflow design, reporting structures, and capacity planning concepts is preferred.
  • Strong stakeholder management, follow-through, and decision-driving skills.
  • Work independently with minimal supervision.
  • Other duties as assigned.

Education and Experience:
  • Bachelor's degree in marketing, communications, business, project management, or a related field preferred.
  • 4-7 years of project management experience in marketing, creative operations, an in-house agency, or digital teams; experience within an integrated marketing firm is a plus.
  • Experience working in environments with multiple stakeholders, shifting priorities, and deadline-driven deliverables.
