Assistant Project Manager

Job Description 

Role Summary 

The Assistant Project Manager will support Project Managers in planning, scheduling, budgeting, documentation, site coordination and relevant tasks to ensure projects are completed on time and within budget. As experience grows, assume leadership of lower-complexity, lower-budget projects. 

Key Responsibilities 

Project Planning & Scheduling 

  • Assist with developing detailed project plans, scopes of work, and schedules.  

  • Monitor job progress, maintain timelines, and identify delays 

  •  Initiate milestone invoices and letters 

  • Order long lead-time and tempo components 

Site Readiness & Assessment 

  • Work with Project Managers and Production Scheduler to assess Client and GC site schedule information. 

  • Maintain schedule for site readiness trips 

  • Maintain site proximity maps for current Build Contracts 

  • Perform site assessments and information gathering trips 

  • Collect walk-out wall, survey, and site data 

Installation Subcontractor Identification & Scheduling 

  • Identify, vet, and maintain a pool of 3 installation subcontractors by Bensonwood build region for Site Crew Coordinator evaluation.  

  • Coordinate onboarding, training, and initial project assignments 

  • Identify raising opportunities with PMs and Site Crew Coordinator 

Subcontractor Management 

  • Write subcontracts, issue purchase orders, review submittals and manage contracts 

  • Conduct subcontractor meetings and address subcontractor performance and coordination issues. 

  • Conduct site visits to monitor progress, quality, and safety compliance 

  • Maintain project documentation (including RFIs, change orders, meeting minutes) 

Budget & Cost Management 

  • Track costs against budgets and prepare job cost reports 

  • Manage change orders, contract allowances, and cost variances 

  • Compare timecards to invoices and reconcile subcontractor payments 

  • Prepare payment requisitions for commercial projects 

Communication & Reporting 

  • Prepare milestone letters and project updates for clients and internal stakeholders 

  • Facilitate communication between clients, subcontractors, and project teams 

  • Attend project meetings and document key decisions 

  • Compile owner's manuals at project closeout 

Additional Support 

  • Assist with permit applications and approvals 

  • Review construction drawings and specifications 

  • Support the Project Manager/Site Crew Coordinator in resolving project issues and conflicts  

  • Contribute to continuous improvement initiatives 

  • Assist Job Captains with raising support as directed by Site Crew Coordinator 

Project Scope 

  • Support PM-I and PM-II on all project types 

  • Small-scale TF projects (<$250k) 

  • TF pass-through projects (<$100k) 

  • Millwork projects (<$100k) 

  • Warranty tasks (<$50k) 

Qualifications 

  • Bachelor's Degree (preferred) 

or  

  • HS Diploma/Equivalent with 4+ years of relevant construction experience
