Job description

Advertising Account Specialist

Location: 5000 Kansas Avenue Kansas City, KS 66106

The Advertising Account Specialist is the crucial link between the agency's creative and team and our retail partners. This role is responsible for ensuring the seamless and timely execution of advertising circulars and campaigns, specifically managing the internal production flow and obtaining final approvals from retailers before releasing the ad to the printer.

Key Responsibilities

Campaign Coordination & Traffic Management

  • Process Oversight: Act as the primary internal point person for assigned advertising jobs (print ads, digital banners, in-store signage, etc.) from brief to final delivery, managing third-party service providers.

  • Timeline Management: Work closely with Project Managers, Creative, and Media teams to ensure all ad components are produced on schedule and meet all specified retailer guidelines and deadlines.

  • Quality Control: Review completed creative assets to ensure accuracy, compliance with the initial brief, and readiness for client/retailer review.

  • Delivery: Manage the final trafficking and delivery of completed ad materials to the specified retailer, print or media vendor in the required format and via the correct delivery method (e.g., FTP, dedicated portal, email).

Retailer Communication & Approval

  • Submission: Distribute advertising proofs/materials to designated retailer contacts for their review and approval.

  • Follow-Up: Proactively manage the approval cycle, following up with retailers to ensure timely feedback is received.

  • Change Management: Meticulously track and communicate retailer changes, ensuring all revisions are clearly relayed to the internal Creative team and implemented accurately.

  • Documentation: Maintain a detailed digital log of all proofs, approvals, and revisions for every job, ensuring an auditable paper trail for campaign sign-off.

Administrative & Reporting

  • System Maintenance: Accurately update job statuses, deadlines, and delivery information within the agency's project management or workflow system.

  • Meeting Support: Attend status meetings, providing clear and concise updates on the approval status of all active jobs. 

  • Issue Resolution: Identify potential roadblocks (e.g., slow approvals, technical delivery issues, early deadlines) and proactively communicate them to the teams for prompt resolution.

  • Run lists: Fill out the run list for each ad accurately and efficiently for the agency and printer. 

  • Budgeting: Ability to project future budgets. 

 

Qualifications

  • Experience: 1-3 years of experience in an agency environment, media/traffic role, or similar coordination/account support position is preferred.

  • Education: Bachelor's degree in Marketing, Advertising, Communications, Business, or a related field, or equivalent work experience.

  • Skills:

    • Exceptional attention to detail is non-negotiable.

    • Strong verbal and written communication skills.

    • Proficient in Adobe and Microsoft Office Suites.

    • Ability to manage multiple projects simultaneously in a fast-paced environment.
