THE OPPORTUNITY

Billy Reid is looking to hire a Creative Project Manager who is the day-to-day engine of the creative organization, responsible for driving on-time delivery of marketing and brand initiatives across campaigns, e-commerce, and BAU communications. This role ensures creative work is planned, prioritized, and delivered in alignment with the broader marketing calendar.

This role owns pre- and post-production logistics as cross-functional coordination and tracking (readiness, dependencies, approvals, post traffic, and asset delivery). On-set execution and specialist booking are supported through production partners as needed.

The role partners closely with the Director of Brand Creative to ensure creative alignment while supporting the Sr. Marketing Manager in executing against the broader marketing calendar and channel needs.


ROLE RESPONSIBILITIES

Creative Planning & Calendars

  • Maintain master creative planning calendars across campaigns, e-commerce, retail, and daily marketing communications.
  • Align creative timelines with marketing launch plans and merchandising milestones.
  • Ensure teams are working ahead of launch deadlines rather than reacting late.
Intake, Brief Quality, and Decision Rights
  • Own the intake process for creative requests, ensuring briefs are complete, prioritized, and aligned with campaign timelines before work begins.
  • Translate requests into clear plans, including deliverables, timelines, dependencies, and back-in schedules.
  • Propose tradeoffs when timelines or scope conflict.
Asana Ownership and Operating Rhythm
  • Own Asana end-to-end
  • Assign work to Design and Copy based on priority and capacity in partnership with Creative leadership.
  • Run kickoffs, weekly status checks, and handoffs; track progress daily and escalate risks early.
  • Establish consistent visibility so stakeholders understand what is on track, at risk, or blocked.

Production Readiness (Pre-Production Tracking & Coordination)

  • Track pre-production readiness across functions: deliverables list, sample status, creation and oversight of pack lists, shot list inputs, approvals, routing plans, and schedule inputs.
  • Coordinate cross-functional inputs to ensure shoots are fully prepared before execution.
Post-Production Traffic & SSOT Asset Governance
  • Own post-production workflow: selects ? retouch rounds ? approvals ? finals ? delivery specifications.
  • Maintain single-source-of-truth (SSOT) standards, including folder structure, file naming, permissions, version control, and basic metadata/tagging.
  • Define and enforce a clear definition of done for assets (on spec, approved, correctly named, stored in SSOT, deliverable-ready).
Continuous Improvement
  • Identify workflow breakdowns and implement durable fixes (templates, checklists, gating, cadence).
  • Apply lightweight automation and AI tools to streamline intake, scheduling, tracking, and reporting.
  • Document processes so systems scale without adding headcount.
