Job Description

The Creative Coordinator is a vital member of the Creative Advertising department, supporting the management of A/V, print, and digital campaigns for Universal Pictures’ theatrical releases. Working as part of a dynamic and collaborative team, the Coordinator will report to the EVP of Creative Advertising and partner closely with colleagues across the department.

This role will play a key part in supporting both domestic and global teams, helping ensure projects and deliverables are executed in a timely and efficient manner.

Essential Responsibilities

  • Provide administrative support, including but not limited to calendar management, scheduling, travel and expense coordination, and invoice processing
  • Organize A/V and print advertising materials from early development through multiple revision and final delivery stages
  • Prepare creative materials for meetings, including A/V transcripts, print-ready PDFs, and other assets needed both in advance and on short notice
  • Ensure timely purchase order processing and track overall budget spend
  • Organize and maintain digital assets, including QuickTimes, PDFs, and other creative files
  • Coordinate with the Creative Operations team on all A/V dubbing requests
  • Handle confidential materials related to unreleased films, adhering strictly to security protocols
  • Distribute creative materials internally and to external partners
  • Communicate efficiently across platforms, including email, Microsoft Teams, and Google Workspace
  • Collaborate with the dub room to share materials with external agencies and vendors
  • Maintain records of filmmaker and executive correspondence
  • Manage multiple projects simultaneously, prioritizing based on deadlines and workflow needs
Qualifications
  • 2+ years of experience using Microsoft Word, Excel, and PowerPoint
  • Willingness to work extended hours and overtime, including weekends, with little notice

Desired Characteristics:

  • Administrative experience working in the entertainment industry, especially at a Creative Agency or Entertainment Marketing company/studio
  • Prior experience in advertising or marketing is a plus
  • Professional and polished phone demeanor
  • Excellent written and verbal communication skills, with strong organizational abilities, attention to detail, and follow-through
  • Demonstrated ability to take initiative and work proactively
  • Ability to manage multiple priorities and handle a fast-paced environment
  • Strong work ethic, dependable, and solutions-oriented
  • Ability to work both independently and collaboratively as part of a team
  • 4-year college degree, preferably in film, marketing/business, or communications 

Additional Requirements: 

Hybrid: This position currently has a hybrid schedule, which requires contributing from the office a minimum of four days per week.  The Company reserves the right to change in-office requirements at any time.
